JTC RUNNING BOARD OF DIRECTORS MEETING MINUTES

Tuesday, June 7, 2022

Location:  Zoom Video Conference

President Larry Roberts called the meeting to order at 6:33 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Nicole Andress, Christy Astorga, Bonnie Brooks, James Bryant, Amiee Cords, Errol Daniels, Susan Haag, Angela Harris, Dennis Harrison, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Douglas Tillett, and Jim Van Cleave. Directors Will Dunlap, Paul Smith, and Stuart Toomey were absent. Marilyn Young was present. Richard Fannin, Robbie Newcomer, Carolyn McClanahan, and Tim Utecht joined as guest presenters.

Cross-Country At Cecil Field: Richard Fannin presented on Cecil Field. The have put on 36 races in the last few years and has been a premier location for high school cross country races. He will be putting a proposal together to present to the board for his upcoming plans regarding various high school cross country races, 2024 Nationals, State Championships, and more.

Approval of May (5/3/2022) meeting minutes: On a motion by Bonnie Brooks and seconded by Nicole Andress, the May board meeting minutes were approved by the board.

Treasurer’s Report:  Amiee Cords reported the club’s financials and discussed in detail the Balance Sheet through May 31, 2022, and the Profit and Loss Detail Statement for May. She mentioned that we made money in our accounts opposed to several previous months due to the market. She discussed in detail main line items including income earned and expenses. She mentioned that majority of the income was earned through Global Running Day, and we will be presenting Marathon High with nearly $6,300. Expenses included Jean Ribault High School donation, club promotions, race team entries for Wine and Chocolate, track meet expenses, and newsletter production and printing costs.

OLD BUSINESS:

2022 Track Series – Douglas Tillett reported our next track meet will be Saturday June 18th at Bolles. It is an early morning track meet, and we already have several board members signed up to volunteer.

Summer Camp – Larry Roberts mention he had a report from Doug Alred reporting that we had 41 kids that applied, and we will be sending 33 to Brevard and 8 to other camps. 1st Place Sports will also be helping and may be paying for the 8 attending the other camp locations. Larry mentioned that’s more than we had last year, however not as much as before Covid, but we are getting better.

New Process for Investments – Amiee Cords spoke about our current investment policy. Carolyn McClanahan discussed how we currently handle the club’s investments and how we would handle them going forward with her firm. The club’s policy and contract were presented and attached to the meeting’s agenda. On a motion presented by Amiee Cords and seconded by Franz Lerch, the board passed to accept the new contract to retain Carolyn’s company (Life Planning Partners) to handle the club’s investment funds.

NEW BUSINESS:

No July Meeting – Larry Roberts spoke about the status of our July board meeting, which we usually forego. On a motion presented by Franz Lerch to not have a July meeting that was seconded by James Bryant, was passed by the board. Our next meeting is scheduled for August 2nd.

COMMITTEE REPORTS:

Bolles Wednesday Workouts – Larry Roberts reported on behalf of Paul Smith that we will be on the track tomorrow evening and do not have another track black out until July 27th.

Gate River Run 2022 – Larry Roberts reported that Doug Alred submitted a preliminary report on Gate River Run and it looks like we’ve done well with nearly $80,000 in earnings. Doug will give us a complete report at our August meeting.

Tijuana Flats Summer Beach Run (August 27, 2022) – Larry Roberts reported we will be having a kickoff event that will be on August 22nd and the race will be August 27th. The kickoff will be at the Tijuana Flats Lakewood location, and we will have some food and drink specials as we have had in previous years. We have promoted the race in our newsletter.

VyStar Emerald Trail 5k/10k (October 22, 2022) – Larry Roberts reported that he just saw the proposed route put out by Doug Alred for the 5k and 10k. He mentioned that having both a 5k and 10k will help us out with runners and get more cyclists.

Global Running Day Event for Marathon High – Nicole Andress stated that we had 250 registered for the event with 47 renewing or new memberships and about 22 individuals that just donated for the cause. Larry Roberts thanked the board members, 1st Place Sports, and all those involved in making this another fun and worthwhile event.

Finance – Amiee Cords reported that we had received a funding request from Jeff Wight that had been passed by the finance committee for further discussion by the board. The request details had previously been sent out and attached to the agenda for review and discussion regarding the request for $10,000. The request will be discussed and voted on in our next meeting due to amount of request and new policy regarding large donation requests.

Website Revamp: Post Newsletter Articles – Christy Astorga spoke about the changes and updates that she has been working on and mentioned that she met with the web design team earlier today. The goal is to make the website easier to navigate as well as appealing to view. The update costs are currently covered in our contract.

Community & Public Relations

Communications: Social Media/Newsletter – Marilyn Young reported that she is really happy with our recent newsletter as she has been working well with Amanda. They are incorporating more pictures and making the newsletter more appealing and functional. Douglas Tillett reported that the newsletter should be in the mail soon as the editor is printing them today and tomorrow. Douglas also mentioned that our JTC Running telephone is working and he is currently managing the phone line. Bonnie spoke about the process that she had to go through to get the new phone activated and free of charge.

Membership – Nicole Andress reported that membership went up slightly and is currently at 991 households including the memberships from Global Running Day.

Classes & Clinics – Jane Alred reported that she is currently in the process of arranging another class with Dr. Peter Yu and stated if we promote it, it could be a joint event.

Vision & Planning – Doug Alred reported there was nothing new for Vision & Planning. He spoke briefly about the scholarships and about how Global Running Day had been another great event.

NEXT MEETING – The next board meeting will be Tuesday, August 2nd, at 6:30 pm via Zoom Video Conference.

The June meeting was adjourned at 7:54 pm.
