JTC Running Board of Directors Meeting Minutes

May 2, 2023

Location: Zoom Video Conference

President Douglas Tillett called the meeting to order at 6:34 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Christy Astorga, Bonnie Brooks, James Bryant, Amiee Cords, Errol Daniels, David Farraday, Dennis Harrison, Robert Jones, Sean McCormack, Jeff Palmer, Larry Roberts, Larry Sassa, Paul Smith, Douglas Tillett, Stuart Toomey, Jim Van Cleave. Nicole Andress, Amy Kisz, Franz Lerch, Todd O’Donnell, Jeremy Smith and Marilyn Young were absent.

Approval of April (4/4/2023) meeting minutes: On a motion presented by Larry Roberts and seconded by Amiee Cords, the April minutes were passed and approved by the board.

Approval of January (1/10/2023) meeting minutes: On a motion presented by Jane Alred and seconded by James Bryant, the January minutes were passed and approved by the board.

Treasurer’s Report: Amiee Cords reported the club’s financials and discussed in detail the Balance Sheet through April 30,2023 and the Profit and Loss Detail Statement for April. She reported the club’s current bank balances in our accounts. She discussed in detail various line items including income earned and expenses.

Old Business:

2023 Track Series – Bob Jones reported that 153 people have registered for the May 6th track meet. Sixteen – seventeen people, including four board members, have volunteered to help. Additional volunteers are needed for the June 3 and July 1 track meets. The track meets are open to all ages and provide great training for running a 5K.

Intellectual Property Case – Larry Roberts said that there is no update to report.

SORBA Sunbeam Trail Project – The Finance Committee previously approved a $20,000 donation to help with construction costs and brought the proposal to the Board last month. Since the donation exceeds $5,000 it has to be discussed at a second board meeting before it can be approved. After a lengthy discussion the board declined to vote on the proposal, since $20,000 will not be enough money to complete any of the trail. Doug Alred and Jim Van Cleave will work with SORBA Jax to develop a detailed proposal of costs and timeline. Once the Finance Committee has information on the full funding needed for SORBA Jax to make substantial progress on the shared use path, the committee will draft a new proposal for the Board to consider.

Bicycle and Pedestrian Counter, Fuller Warren Shared Use Path – Larry Roberts reported that temporary counters, installed by the City of Jacksonville, show 1,000 people are using the path on a daily basis. FDOT will install a permanent solar powered counter on the west end of the path. FDOT suggested that JTC Running could install a second counter at the east end. Since there is not much value in having a second counter on the path, another location will be considered.

GRR/JTCR Round Table on Volunteers – No report.

New Business:

Global Running Day in Support of Marathon High, June 7 – Only 36 people are registered. Another email blast will be sent to advertise the event.

5K Training Class aimed at Tijuana Flats Summer Beach Run – No report.

Summer Running Camp Scholarships – Doug Alred reported 20 applications have been received. Another email will be sent to coaches reminding them of the deadline for students to apply.

Reports

Bolles Wednesday Training Sessions – James Bryant reported an uptick in turnout for both the morning and evening sessions. Participants like receiving a weekly email listing the details of the upcoming interval workout. During the warmup James promotes other JTC Running activities such as Global Running Day and the track series.

Gate River Run March 4, 2023 – Doug Alred presented a detailed comparison of GRR costs for 2022 and 2023. Costs were significant higher in several areas this year. Increased income from registrations contributed to a healthy profit for JTC Running.

Tijuana Flats Summer Beach Run August 19, 2023 – Doug Alred reported that registration is up over last year.

Emerald Trail 5K/10K, Sept 30, 2023 – No report.

Race Team: Doug Tillett announced that David Farraday is the new liaison between the JTC Running Race Team and the Board.

Finance – Amiee Cords reported receiving a number of scam emails requesting funds that purported to be from Doug Tillett. She encouraged Board members to be vigilant when receiving emails concerning financial matters. Amiee has begun to look at alternatives to earn more interest on our liquid assets.

Community and Public Relations – Christy Astorga said Amy Kisz will help with Runner of the Month and has been added to the Social Media committee. Christy showed the Event Marketing Checklist she has developed.

Communications – Doug Tillett reported that Jeff Palmer has started updating the website. The deadline to submit articles for the next issue of the newsletter is May 15. Additional people are needed to be involved with the newsletter.

Membership – Membership is currently 976.

Classes, Clinics, Socials – No report.

Vision & Planning – No report.

Next Meeting – The next board meeting will be Tuesday, June 6, 2023, via Zoom.
