JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, April 4, 2017
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:40 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Susan Haag, Angela Harris, Stan Lambert, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, Douglas Tillett, and Stuart Toomey. Directors Colleen Clarson, Errol Daniels, Michael DelCharco, Franz Lerch and Jim Van Cleave were absent.

Approval of 2/27/17 (March meeting) minutes: On a motion by Lamar Strother and seconded by Stuart Toomey, the March minutes taken on Feb 27 were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail through March of 2017 and then explained all the line items.

OLD BUSINESS:

USATF Run, Jump, and Throw Program – Director Angela Harris is the USATF Florida Association President and Youth Director. As such, she has initiated a USATF Youth Program called Run, Jump, and Throw. She has reached out to several schools. There are now four events planned and four different schools, with three on weekdays and one on a weekend to include the kids from Sulzbacher. Angela was hoping for JTCR support for refreshments and drinks at these events.
Bonnie Brooks made a motion, seconded by Connie Smith, that we provide $500 for the refreshments. The motion passed.

JTC Running Track Series – Larry Roberts reported that we are set to go and even have signups already on our website. Larry asked that each board member participate in at least one of the meets this year. The dates are May 13, May 27, June 10, July 15 and July 29.

Tomahawk Park Picnic – Stan Lambert is trying to set up the picnic for some time in May. Doug Alred will arrange it.

Summer Running Camp Grants – Doug Alred said that applications have been sent out to area coaches and the application is also on the website.

NEW BUSINESS:

National Running Day for Marathon High (June 7) – We are doing this event this year, just as we have for the past two. It will be at 1st Place Sports Baymeadows on Wednesday, June 7. As at previous events, we will accept $10 from each participant as a donation to Marathon High and then the club will match it. We will also offer discounted memberships ($5 discount) at this event.

Car-Free Week, May 14 – 19 – Closing at Intuition Ale Works – President Larry Roberts also has a seat on the Bicycle Pedestrian Advisory Council. BPAC is putting on this effort to get as many people as possible during the week of May 14 through 19 to avoid using their car and to bike or hike to work instead. The “closing ceremony” will be at Intuition Ale Works on Friday, May 19, at 6 PM.

COMMITTEE REPORTS:

Winter Beach Run Final Report – Race Director Doug Alred distributed copies of the Accounting for the Winter Beach Run, both last year and this. He noted that we had a pretty good year with participation up and income as well. He also noted that the cost for this race is increasing as The Beach now requires that we hire a Fire and Rescue Unit to be on site for the race.

Gate River Run (3/11/17) – Race Director Doug Alred said it was a great year for GRR. He told us that Metropolitan Park is going to get sold off. It is getting way more expensive to stage events around the Sports Complex. Starting this year, we even had to put out our own cones on the course instead of The City doing it. As for participation, the 15K was a little down while the 5K was up a bit.

Tijuana Flats Summer Beach Run – (Sat, 8/26) – Race Director Doug Alred said we are all set with The City and that Tijuana Flats is a happy Title Sponsor. The logo for the race is designed.

Race Committee and Track Meet Committee – No report.

JTC Running RACE TEAM – Larry said we had 22 team members run the St. Patty’s race with many placing in their age groups.
CLASSES & CLINICS – Director Jane Alred said that 1st Place Sports has held a couple of clinics in the store. She would like to schedule a “no charge” JTCR event.

COMMUNITY & PUBLIC RELATIONS – Larry Sassa reported that the GRR post-race tent went very well. He thanked Stuart for setting up our area in such a good way. He noted that our food vendor made all the food fresh with quality ingredients. Lots and lots of runners came into the tent. He said it was a really good event this year.

FINANCE – Treasurer Bonnie Brooks told the board that a Finance Committee meeting was held prior to the board meeting and that four recommendations have come from the committee.
First, BPAC has requested a $500 donation for “No Car” week which Larry Roberts talked about earlier. Bonnie made a motion, seconded by Doug Alred, that we approve $500 for BPAC No Car Week. The motion passed.
Second, Epitome will be holding a big meet at UNF on May 20 and requested assistance. Bonnie made a motion, seconded by Douglas Tillett, that we contribute $2,500 to Epitome for the meet. The motion passed.
Third, the USATF Region 4 Junior Olympic Championships will be held July 6 through 9 at UNF. The venue is costing $10K per day. There will be around 300 attending. Bonnie made a motion, seconded by Doug Alred, that we contribute $5,000 for the Region 4 JO Championships. The motion passed.
Lastly, for the past several months we have been discussing the proposal we received from Dr. Wight of JU. He has changed his proposal from what we originally received. At this time, the committee was not inclined to make a motion toward the revised proposal.

MEMBERSHIP – Larry Roberts reported membership is at 1,241 active members.

MERCHANDISE – Connie Smith said that sales of our merchandise at the GRR Expo went well but that we had received requests from members for shirts with short sleeves and also for singlets.

NEWSLETTER – The printed newsletters are in the mail.

SOCIAL MEDIA – Stan Lambert told the board that the movie “Boston” would be premiered nationally in theatres on April 19. In Jacksonville, it will be at the Regency 24 for one showing only.

SOCIAL & BANQUET – Jane said that the venue is all set for Maggiano’s on Thursday, June 22. Our deposit has been paid. There will be a Banquet Committee meeting on April 18 at V Pizza San Marco at 6 PM.

VISION & PLANNING – Doug Alred proclaimed that the Tomahawk Park Trail upgrade is finished. Then he told us a story of going running Skinner Park to see how the trail that we championed there was doing. He said the bridge we paid for has been burned down. Disappointing news.

NEXT MEETING – The next board meeting will be Tuesday, May 2 at 6:30 pm in the Mediterrania Restaurant.

The April meeting was adjourned at 7:55 pm.
