JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, January 3, 2017
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:40 p.m. Directors present for the meeting were Bonnie Brooks, Colleen Clarson, Errol Daniels, Michael DelCharco, Susan Haag, Stan Lambert, Franz Lerch, Todd ODonnell, Ty Payne, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, Douglas Tillett, and Jim Van Cleave. Directors Doug Alred, Jane Alred, Angela Harris, and Stuart Toomey were absent.

Approval of 12/5/16 minutes: On a motion by Lamar Strother and seconded by Todd ODonnell, the December minutes were approved as submitted.

Proposal from JU School of Applied Health Sciences Jeff Wight is the Assistant Professor of Kinesology at Jacksonville University and is seeking a $10K donation from JTCR to purchase specialized equipment to video elite athletes, analyze data from accelerometers that would also be purchased, and then make recommendations to the athletes that will result in improved biomechanics when running, thereby improving their race times. This injection of science into our sport of running would put our city and JU at the forefront of resulting improvements in running nationally. Jeff spoke to the entire board about this proposal, since it is complex and ground breaking, and answered the boards questions about the donation request.

Introduction of the Coach of our Training Classes Jennifer DeSantis is the new coach of our Half Marathon and Gate River Run training classes. She works as an elementary school music teacher and loves running as well. She took a JTCR Training Class under Coach Metzgar, then became a Group Leader, and is now the coach of our classes following the retirement of Coach Metzgar. She has just completed her first assignment with the Half Marathon Class and will begin training the GRR Class at the end of the week. She thought it would be appropriate to introduce herself, face to face, to the board of directors.

Election of 2017 Club Officers Larry Roberts relinquished the gavel to Larry Sassa for the election of President of JTCR. Douglas Tillett nominated Larry Roberts to continue another year as club president. There were no other nominations. The vote was taken and Larry Roberts was elected to serve another year as JTRC President.
Larry Roberts took back the chair and asked for nominations for Vice President. Douglas Tillett nominated Larry Sassa to continue another year as club vice president. There were no other nominations. The vote was taken and Larry Sassa was elected to serve another year as JTCR Vice President.
Larry Roberts asked for nominations for Secretary. Douglas Tillett was nominated by Susan Haag. Douglas told the board that he has concluded that it is time to pass the job on to another willing candidate. He said that he has been talking with Errol Daniels and that Errol is willing to take on the job. Douglas Tillett nominated Errol and Susan withdrew her nomination of Douglas. No candidates other than Errol were nominated. The vote was taken and Errol Daniels was elected to serve as club secretary for 2017.
The position of treasurer is nominated by the president and then approved by the board. Larry Roberts nominated Bonnie Brooks to continue as treasurer for another year. The board approved her nomination by the president, thus making her the JTCR treasurer for 2017.

Treasurers Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail through the end of 2016 and then explained all the line items to the board of directors.

OLD BUSINESS:

JTC Running Track Series Larry Roberts reported that all five dates have been scheduled for our 2017 track meets. The dates are May 13, May 27, June 10, July 8, and July 29.

American Cancer Society Relay for Life Heather Riley, a JTCRunning member, is organizing a JTCR team for the Relay for Life event at The Bolles School on April 22, 2017. She has asked JC and Paul, the coaches of our Bolles Track Workouts, to see if they could recruit team members from the Track Workout Groups. She has not yet received a reply.

New Canopy for our 10 X 20 Tent Frame Stan Lambert has headed up this effort.

Event Staffing for Donna Expo and GRR Expo / Tent Larry Roberts will work at adding these events to the club website so that volunteers can commit online. Larry made it clear that he expects the board to volunteer for the expos and the tent. Each shift will have a board member present as well as rank-and-file club members volunteering.

Gate River Run Training Class The first GRR Training Class will be this Thursday, Jan 5, at 1st Place Sports Town Center. Several board members volunteered to attend to check in and register runners for the GRR Training Class.

Donation Standards Focus Committee Todd ODonnell reported that the focus committee made progress at their meeting and that they would meet again on Jan 23 along with the Finance Committee. The meeting will be at Seven Bridges at 6:30 PM.

NEW BUSINESS:

Hall of Fame Dinner – There is a plan to have a Hall of Fame Induction Ceremony on Tuesday, March 7.

COMMITTEE REPORTS:

Gate River Run (next on 3/11/17) Colleen Clarson reported that there are several new promotions for this years 40th running of the Gate River Run. The 40 Days of Gate River Run is a fun new thing that features a scavenger hunt type of event where every day, a GRR poster will be moved from location to location and hints to the location will be found on the GRR Facebook page. Runners can have their photo taken in front of the poster to become eligible for prizes. The 40 days will be from Jan 24 through March 10.
Colleen reminded us that the media is always looking for good stories about people and the GRR.
There are plans to create a new statue to be placed at the starting point of the race and Mayor Curry will pave the way for this effort to be completed. Mayor Curry will speak at the start of this years Gate River Run.

GRR Elite Event No report.

Guana Trail Races (Sun, 12/4/16) Larry Roberts mentioned that the race made less money than last year and the turnout, especially for the long race, was down a bit compared to last year.

The Last Gasp (Sat, 12/31/16) Those of us on the board who went to The Last Gasp all thought the race and the post-race social went very well. The final financial report was not yet available.

Winter Beach Run (Sat, 1/28/17) Race Director Doug Alred said there is nothing new to report.

Race Committee and Track Meet Committee No report.

JTC Running RACE TEAM Larry said our team members had an excellent turnout at the Marathon, Half Marathon, and The Last Gasp.

CLASSES & CLINICS No report.

COMMUNITY & PUBLIC RELATIONS Larry Sassa reported that preparations for our tent at the GRR post-race are moving along.
He also reported that he talked with someone at Jacksonville Beach about our water fountain project and that he was going to continue to push it.

FINANCE There will be a focus committee meeting along with a Finance Committee meeting on Monday, Jan 23, at 6:30 PM at Seven Bridges.

MEMBERSHIP Larry Roberts reported membership is at 1,199 active members.

MERCHANDISE Connie Smith said that we will have JTCR / Gate River Run shirts available for our members to buy by the Donna Expo and theyll also be available at the GRR Expo.

NEWSLETTER The newsletter deadline for submission of articles is January 15.

SOCIAL MEDIA Stan Lambert continues to post to our Facebook page and Twitter account daily.

SOCIAL & BANQUET No report.

VISION & PLANNING No report.

NEXT MEETING The next board meeting will be Tuesday, Feb 7 at 6:30 pm in the Mediterrania Restaurant.

The January meeting was adjourned at 8:05 pm.
