JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, August 2, 2016
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL
President Larry Roberts called the meeting to order at 6:40 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Errol Daniels, Michael DelCharco, Richard Fannin, Susan Haag, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Lamar Strother, Douglas Tillett, Stuart Toomey and Jim Van Cleave. Directors Bonnie Brooks, Colleen Clarson, Angela Harris, Stan Lambert, Franz Lerch, and Connie Smith were absent.
Approval of 6/7/16 minutes: On a motion by Lamar Strother and seconded by Todd O’Donnell, the June minutes were approved as submitted.
Treasurer’s Report: Treasurer Bonnie Brooks was absent so the monthly report was not available but it will be emailed to members of the board later in the week.
OLD BUSINESS:
JTC Running Track Series – Larry Roberts reported that we held our final meet of the year on July 30 at The Bolles School track. The Track Meet Committee is already working on next year’s dates.
Tomahawk Park Trail Project – Doug Alred said he has heard no word from the City.
JTC Running Awards Banquet – Board member Jane Alred opined that the event ran too long and thinks we should make it a goal to end the show by 8:30. Larry Roberts reported that The Banquet was at budget.
5K Fun Run/Walk for Association of Asthma Educators (AAE) – Our club will direct this race this Saturday, August 6 at 6:30 am for AAE members who are in town for their convention. Please volunteer to Larry Roberts to help us stage this event.
Tijuana Flats SBR Kickoff Party – The Kickoff Party will be Monday, Aug 8, with the Fun Run at 6 and the party at 6:30 at Tijuana Flats Lakewood. Beers for one dollar. Awesome food available for purchase.
NEW BUSINESS:
Fall Half Marathon Class – Starts Thursday, Sept 8 at First Place Sports Town Center. We have a new coach: Jennifer DeSantos. We found out that The Florida Striders have decided to have a fall half marathon class in Clay County running at the same time as ours.
COMMITTEE REPORTS:
Gate River Run (3/12/16) (next on 3/11/17) – Race Director Doug Alred distributed copies of the revised 2015 Financial Results that showed an additional profit for JTCR. He also distributed copies of the 2016 Financial (partial) Results which also showed a profit. He answered questions from the board.
Doug Alred said that there was going to be a meeting tomorrow for planning the 2017 race and that Gate is involved. Doug noted that the number of finishers was down a little this year but they are working on reversing that slide.
He also told us that Stuart Toomey is working on a project of getting ALL Gate River Run results online, going back to 1978.
GRR Elite Event – Richard Fannin has been thinking about the TenBroeck Cup competition that JTCR financed from its inception until last year when time incentives took its place. He proposed a special idea for the big event of the GRR’s 40th anniversary by inviting 40 runners from the top tier divided into 4 teams. Richard formed an ad-hoc committee to plan the special elite activity for the race. Ad-hoc volunteers were Richard Fannin, Larry Sassa, Jane Alred, Doug Alred, Stan Lambert, Ty Payne, Michael DelCharco, Errol Daniels, and Bill Johnson. Richard will arrange a meeting of the committee before the next board meeting.
Tijuana Flats Summer Beach Run – (Sat, 8/20/16) – Race Director Doug Alred said things are mostly set. He noted we will have some “competition” because the first Jaguar preseason game is at the same time as our race.
Guana Trail Races – (Sun, 12/4/16) – we have 14 participants signed up so far.
The Last Gasp – (Sat, 12/31/16) – When we found out that the VyStar 5K will be on Dec 30, we decided that the last day of the year would be perfect for our cross-country race around JU.
Race Committee and Track Meet Committee – No report.
JTC Running RACE TEAM – The JTC Running Racing Team now has 30 members which is the maximum that the Racing Team Committee recommended we hold. We have a new team coordinator: Kathy Murray. We all agreed that our previous team coordinator, Stephanie Griffith, did an excellent job and we commend her for being a wonderful team coordinator.
CLASSES & CLINICS – As noted previously, our Half Marathon Training Class starts on Sept 8.
It was noted that our Wednesday Track Sessions at The Bolles School track are very popular. The early morning group has 104 members and the afternoon group has 96 members. JC Pinto and Paul Smith are both doing a really good job leading our track workouts.
COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa plans to contact his city council representative as a next step to forwarding our project.
FINANCE – Although Treasurer Bonnie Brooks was absent, Larry Roberts told the board that a meeting of the Finance Committee is scheduled for Monday, August 22 at 6 pm in Mediterrania. The agenda for the Finance Committee meeting includes drafting a proposed FY2017 budget (as our fiscal year now begins on Sept 1). We also have five requests for support from various organizations to consider. Larry noted that if anyone on the board had expenses needing reimbursement, that it was time to immediately submit an expense report.
MEMBERSHIP – Reported membership is at 1,216 active members per Stuart Toomey.
MERCHANDISE – It was noted that we need to determine a budget for the Merchandise Committee.
NEWSLETTER – The next edition of The Starting Line was in the pipe for production. We will publish 855 copies, up from 720 or so not too long ago.
SOCIAL MEDIA – Stan Lambert was absent for the meeting so there was no report although it was noted that Stan does a Facebook post daily and also covers us on Twitter every day.
SOCIAL & BANQUET – The JTCR Christmas Party will be on Dec 10 inside 1st Place Sports San Marco.
VISION & PLANNING – Doug Alred said there was no news on the Sunbeam project. The “not for profit” has not yet been set up.
NEXT MEETING – The next board meeting will be Tuesday, Sept 6 at 6:30 pm in the Mediterrania Restaurant.
The August meeting was adjourned at 7:50 pm.
