JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, June 3rd, 2014
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:44 p.m. Directors Michael DelCharco, Richard Fannin, David Moritz, Larry Sassa, and Connie Smith were absent.

Approval of 5/6/14 minutes: Lamar Strother made a motion, seconded by Erika Bjork, that we accept the minutes as submitted. The motion passed.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report. She thoroughly reviewed both reports with the board and answered all our questions.

OLD BUSINESS:

Track Series – Larry Roberts reported that we had 160 athletes compete at the second meet, which was on May 10th. The third meet of the series will be this Saturday, June 7th, and we think we will have lots of runners because we heard from Epitome of Excellence that the AAU meet has been cancelled so everyone is coming to our meet instead. In addition, we have 21 athletes signed up for the decathlon and heptathlon.

Summer Running Camp Grants – Doug Alred reported that we have received 33 requests for grants to running camp but our budget is only $7,500. He has rated the runners by points based on our criteria for selection. Some candidates had a lot more points than others but we still disliked the idea of leaving many high school runners disappointed and unable to attend running camp. It was noted that some cash remains in the Terry Sikes Scholarship and that more was being collected. Douglas Tillett made a motion, seconded by Stuart Toomey, that we authorize overspending our budget by up to $5,700 so that all 33 runners can receive a $400 grant to attend running camp for a week. The motion passed.

Racing Team Coordinator – The president of JTC Running asked Doug Tillett and Larry Sassa to work on picking a new coordinator for the racing team.

Awards Banquet – The banquet will be in Maggiano’s on Thursday, June 26th. Larry Roberts will be at the door, checking people off the list. We have used the club’s website and our Wild Apricot membership management system for handling reservations and payment.

Sulzbacher Volunteers Needed – Volunteers are able to use the club website to sign up to cook or serve at our community outreach effort at the Sulzbacher Center for the Homeless, which will be on July 26th.

NEW BUSINESS:

July Board of Directors Meeting – Stan Lambert made a motion, seconded by Stuart Toomey, that the board not meet in July. This is a continuation of what we have been doing (not meeting in July) for the past number of years. The motion passed.

COMMITTEE REPORTS:

Gate River Run (3/15/14) – Race Director Doug Alred distributed copies of the Profit and Loss Standard for this year’s race to the board then answered all questions. No objections were noted; everyone in the room seemed happy with the results. Another good year for the GRR.

TenBroeck Cup Team Competition – Director Richard Fannin was absent. No report.

Tijuana Flats Summer Beach Run – The race will be on Saturday, Aug 16th. Race Director Doug Alred said that they’re getting really cranked up on the race.

RACE COMMITTEE and TRACK MEET COMMITTEE – A meeting of the committee was scheduled for Tuesday, July 1st at 6:30 with the location TBD.

JTC Running RACE TEAM – Larry Sassa and Doug Tillett are working to pass the job of team coordinator over to one of the team members who is interested in having the job.

CLASSES & CLINICS – Jane Alred is thinking ahead but we don’t have anything scheduled at this time.

FINANCE – Committee Chair Bonnie Brooks first told us that she’d be away for vacation from June 10th through the 18th. She had chaired a Finance Committee meeting this evening, before the board meeting. Marathon High asked for JTCR’s financial support for 2014 in the amount of $4,125 to pay for 75 students at $55 each. Bonnie made a motion, seconded by Todd O’Donnell, that we provide the $4,125 they requested but first pending their accounting figures by showing their financial statement. Marathon High will include JTC Running in their promotional items. The motion passed.

MEMBERSHIP – Larry Roberts reported that we have 903 active memberships, comprising 725 membership “units.”

MERCHANDISE – No report.

NEWSLETTER – Director Bob Fernee said the newsletter is at the printer and should be delivered this week.

SOCIAL MEDIA – Director Stan Lambert said that he doesn’t think a meeting of the committee is needed at this time.

SOCIAL & BANQUET – Our upcoming Awards Banquet was discussed earlier in the meeting.

COMMUNITY & PUBLIC RELATIONS – Prominent local attorney and bicycling advocate Chris Burns pointed out that bicyclists are the only group that has participated thus far in the city’s Bicycle Pedestrian Advisory Council. He suggested that we should get a representative from our club involved in the council and then work to get our entire membership involved, to the betterment of the safety of all us runners.

VISION & PLANNING – Doug Alred told us of the developments that have transpired regarding the landfill. The golf course that was planned for the site failed.

NEXT MEETING – The next board meeting will be Tuesday, August 5th at 6:30 in the Mediterrania Restaurant. During this meeting, we had voted not to meet in July.

The June meeting was adjourned at 8:08 pm.
