JTC Running BOARD OF DIRECTORS MEETING MINUTES 

Tuesday, December 6, 2022 

Location:  Alred residence 

 President Larry Roberts called the meeting to order at 6:37 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Nicole Andress, Christy Astorga, Bonnie Brooks, James Bryant, Amiee Cords, Errol Daniels, Will Dunlap, Susan Haag, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Paul Smith, Stuart Toomey, Douglas Tillett, and Jim Van Cleave. Dennis Harrison and Board guest Marilyn Young were absent.  

 Approval of November (11/1/2022) meeting minutes: On a motion presented by Todd O’Donnell and seconded by Stuart Toomey, the November board meeting minutes were approved by the board. 

 Treasurer’s Report: Amiee Cords reported the club’s financials and discussed in detail the Balance Sheet through November 30, 2022, and the Profit and Loss Detail Statement for November. She reported the club’s current bank balances in our accounts. She discussed in detail various line items including income earned and expenses pertaining to Emerald Trail and Just In Queso Foundation donations.  

 OLD BUSINESS: 

 2023 Track Series – Douglas Tillett reported that we are currently getting registration ready for our first track meet. We are hoping to have one meet a month at Bolles starting in April. Currently Kaitlyn King is still unsure if she’ll be available to come back to work the meets due to the constraints of her new job.   

 Election of 2023 Officers – The election of the 2023 executive board was held. 

For the office of Bolles Director, James Bryant was nominated by Paul Smith (Paul/Stuart). There were no other nominations. The vote was called, and James Bryant was unanimously elected Bolles Director. 

For the office of Treasurer, President Roberts named Aimee Cords as his choice for Treasurer (Larry/Bonnie). The board unanimously approved Aimee Cords for Treasurer as Aimee accepted the position. 

For the office of Events Director, Nicole Andress was nominated by Jane Alred. There were no other nominations. The vote was called, and Nicole Andress was unanimously elected Events Director. 

For the office of Secretary, Errol Daniels was nominated by Jane Alred/Christy Astorga. There were no other nominations. The vote was called, and Errol Daniels was unanimously elected Secretary. 

For the office of President, Douglas Tillett was nominated by Franz Lerch/Paul Smith. There were no other nominations. The vote was called, and Douglas Tillett was unanimously elected President. 

For the office of Vice President, Larry Roberts nominated Christy Astorga and Will Dunlap. There were no other nominations. The vote was called, and Christy Astorga was unanimously elected Vice President. 

 Discussion was held in regard to new board members. It was proposed and passed to add 4 additional seats on a temporary basis to raise the board to 24 members. Two seats were open at year end. With the 4 additional seats authorized, there are 6 positions to fill for 2023. Five new board members of which their resumes and credentials had previously sent to the board for review were approved for offers to join. The remaining open seat will be filled after further candidate review. 

 Douglas Tillett reported that he had not explored the USATF memberships for board members since our last meeting, but he had recently attended their Annual Meeting as he is the Florida Association Masters Long Distance Chair. 

 NEW BUSINESS: 

 RRCA 2023 Convention – Larry mention that Nicole Andress and Douglas Tillett are currently scheduled to attend next year’s RRCA convention and asked if anyone else was interested in attending.  

 COMMITTEE REPORTS: 

 Bolles Wednesday Workouts – Paul Smith reported that he had several volunteers, Mark Grubb, and Matthew Spires, interested in the morning coaching positions as well as Sean McCormack for the evening sessions. Larry mentioned that we would need to update the event registration for the track sessions for the upcoming year. 

 Gate River Run Training Class – Nicole Andress reported that there are 17 people currently enrolled in the class and more information for the class will be emailed out within the upcoming email blast.  

 Guana Trail Races – Franz Lerch reported that the event was fantastic, and he had received good feedback from the participants. There was an issue with the hats, but now we have 2-years’ worth of hats. This year was the 1st time we had a female overall winner and female 1st Masters overall winner. It was mentioned that we would like to know how many actual club members participated and how many memberships were gained from the event.  

 Last Gasp: Dec 24 – Nicole Andress reported we currently have 62 entries registered. Doug Alred mentioned that we would like to get at least 100 participants for the event. Larry stated he spoke with Herb previously and would be following up with him on the 15th regarding if we would be having the social.  

 Winter Beach Run January 21, 2023 – Doug Alred stated that there was nothing new to report other than we are starting to get entries for the event. The event will again be split into 10-mile and 5K races.  

 Gate River Run – Doug Alred reported that registration is rolling and currently around 4,000 entries. We will keep promoting the event. Currently things are looking good, and we are in good shape. Jim Van Cleave reported that the elite qualification information is out there. We currently have 15 entries with the qualifying standards. We will start to get more interest in late December through early January. We will be doing a 5-minute head start instead of a 6-minute head start for the women this year. We have received 30 requests from Kenya for sponsored entries, but they are not eligible for awards or assistance for the race.   

 Finance – Amiee Cords reported she will file our 990 taxes. She mentioned Jeff Wight updated his proposal, but it still had the same terms, and he will start in January in which he’ll be available for 6 sessions a week.  

 Community & Public Relations  

Communications: Social Media/Newsletter – Larry Sassa reported that TLK is updating our JTC club video before Gate to refresh some areas and keep the material current. We want another banner saying “JTC Running” similar to our currently JTC Running Members Only sign that we use during Gate River Run. Our current versions of the video are 7-minutes long with the Ground Works information and 5-mionutes with just our JTC information. We also have our 30-second videos we use for social media. Christy stated we have made several Facebook postings and have been getting increased interactions with members. Errol Daniels mentioned that there were several items that needed to be posted to the website for Guana and SBR check presentation. Douglas Tillett mentioned that they are nearing finishing the newsletter in which Marilyn recently sent comments to the editor, however it has not been sent to print just yet. 

 Membership – Nicole Andress reported that membership is currently at 962 households. She also mentioned that she currently has the club phone and there have been a few calls regarding Lamar and our track meets. 

 Classes & Clinics – Jane Alred recommended that going forward we change the location or day we have our winter social as having it with the Festival of Lights race in San Marco has not been very successful.    

 Vision & Planning – Larry Roberts reported that there has been interest from the Jacksonville Beaches for installing ECO counters at the beach.  

 NEXT MEETING – A vote was held to determine the date and location of the next meeting, in which it was suggested to have an in-person meeting. An in-person meeting at the Alred’s house on the 10th was the proposed date and time, which was passed by the board. The next board meeting will be Tuesday, January 10th, at The Alred’s house.    

(Note: Prior to the January meeting, we changed to Zoom on January 10, 2023, at 6:30 PM.)   

The December meeting was adjourned at 7:59 pm.
