JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, November 3, 2020
Location: Zoom Video Conference
President Larry Roberts called the meeting to order at 6:33 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Nicole Andress, Christy Astorga, Bonnie Brooks, James Bryant, Errol Daniels, Susan Haag, Dennis Harrison, Franz Lerch, Ty Payne, Larry Roberts, Larry Sassa, Paul Smith, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Directors Angela Harris and Todd O’Donnell were absent.
Approval of 10/6/20 (October meeting) minutes: On a motion by Franz Lerch and seconded by Douglas Tillett, the October board meeting minutes were approved.
Treasurer’s Report: Treasurer Bonnie Brooks was experiencing technical issues, so we skipped the presentation of the treasurer’s report to be completed later.
Eco Counter – Larry Roberts reported the Eco Counter has been installed and displayed pictures of the Corkscrew Park location. The dedication is scheduled for November 17th at 10am. He stated that invitations to the event will be sent out and we want board members to attend. Also, with social distancing policies in place the dedication will be limited to a specific number as there will be local news coverage of the dedication and opening.
Water Fountains at Jax Beach – Larry Sassa reported that the photo opportunity and ceremony will be this Friday at 11:45am. Trish came up with the idea, which will include a ceremony with local news stations. Larry Sassa and Larry Roberts will be in attendance.
Timucuan Parks at Betz/Pumpkin Hill/Cedar Point – James Bryant reported that Felecia Boyd of Timucuan Park reached out to the club regarding the possibility of putting on an event there. He stated that he, Larry Roberts, and Doug Tillett met with Felicia via Zoom to see what they wanted and what ideas they had in mind. Their main goal was to gain more exposure for the park. They went to the park to see the logistics of the park of which included a dog walk, million-dollar bridge, and a parking lot that has about 20 car spaces. They would possibly need to perform some maintenance work but could do an event with 50 people for a 5k or 4-mile run.
Marathon High to run the virtual Breast Cancer Half Marathon – Larry Roberts reported the Marathon High virtual Breast Cancer Marathon is February 13th and 14th next year, but he would provide more information at our next meeting. He also mentioned that we might provide timing for the event as well.
JTCRunning.com Support – Larry Roberts stated that our website was previously managed by Mac but now is currently run by John Lane of Gifted Owl. The current web hosting site works well with google maps and other links on the website. He has fixed several of the issues we were experiencing and cleanup the layout concerns we had.
Track Series 2021 – Larry Roberts informed the board that Eric Frank who has been doing our track events in the past will not be able to direct the meets anymore. Larry asked Douglas Tillett to lead the track committee to discuss the series going forward. He asked who would be willing to volunteer and assist with this committee to discuss best practices, options, and ideas on how to proceed with our track series as we continue to move forward. Volunteers for the committee included Douglas Tillett, Franz Lerch, Dennis Harrison, James Bryant, Jim Van Cleave, Ty Payne, and Larry Sassa.
Gate River Run Training Class – Larry Roberts stated that he would like for registration for the training class to be ready by December 1st. He said that he would like to pay more money to Coach DeSantis for all that she does and brings to the class. Her current salary is $2,400 per class plus membership bonuses per runner based on tier groups. The board had a brief discussion regarding the amount of the increase, current costs and expenses, and other concerns pertaining to an increase in salary. On a motion presented by Nicole Andress and seconded by Errol Daniels, to increase the salary for Coach DeSantis for the Gate River Run training class was passed by the board.
JTC Running Board Members 2021 – Douglas Tillett reported that he had recently sent an email to board members who had expiring terms coming up. He asked those board members to inform him of their plans if they had not already done so. Board members with expiring terms included Nicole Andress, Bonnie Brooks, Errol Daniels, Susan Haag, Franz Lerch, Todd O’Donnell, Ty Payne, Douglas Tillett, and Stuart Toomey.
Bolles Wednesday Workouts and Where to Run in Jax – Paul Smith reported the Bolles track workouts have been moving smoothly as the morning sessions average 15 runners and the night sessions average between 19-35 runners.
Vystar Emerald Trail 5K – Doug Alred reported that the event has 360 sign-ups with 50 doing the bike. He mentioned that we could possibly pick up another 100 sign-ups before the event. We will be providing shuttle transportation back to the start for the runners and there will be signage for the bikers for the route back to the start. Vystar will be providing the volunteers. Everything is all set with the city and permits, but they probably will have another meeting before the event. Larry stated that he wants everyone on the board to sign up for the race.
Guana Trail Races (Sun 12/6/20) – Franz reported that there are 169 entries, which could lead to more entries this year than any other year. He displayed the hats and shirts the runners will receive. He and Mark did a recon lap and the trail looked good. He also mentioned that Mark is no longer the President of Guana anymore, but he has been able to retain the use of their tools and transportation. He also stated that this year the runners will have to walk from the parking lot to the event due to no shuttle service.
Last Gasp (Sat 12/26/20) – Larry Roberts reported and showed tentative course route for Blue Cypress if we do not return to JU this year. The event would be at 3pm December 26th. We would need 1st Place Sports for timing and porta potties. If we could get 100 sign-ups, that would be considered a good turnout.
Go Green Winter Beach Run – Doug Alred reported that registration will be open by the end of the month. Due to covid-19 and social distancing guidelines there would not be an after party.
Gate River Run – Doug Alred reported that the 1st event email regarding registration has been sent. The race will be limited to 8,000 entries and have dual starting times. The 5k will have a start time of 10am. We will be using social distancing practices like recent smaller races. Doug stated that 8,000 people sounds like a lot in terms of Gate, but entries will probably go fast. Another email will be sent out stating registration will be open on December 1st. Jim Van Cleave spoke about the current status of the elite race. He said that he has sent an email out to 25 coaches and their response seems good due to the opportunity for or lack of races. He is working with USATF to establish protocols for the event.
Finance/Treasurer’s Report – Bonnie Brooks reported Smoak Davis Nixon has started our taxes and if they needed any additional information or documentation, they would contact her or Doug Alred. Due to technical issues experienced earlier in the meeting, she had to skip the treasurer’s report until now. Bonnie discussed in detail the Balance Sheet through November 2, 2020, and the Profit and Loss Detail Statements for October. She reviewed the reports with the board. Line items discussed in detail included income and expenses for Guana entries, training class and membership income, JTC racing team race entries for St Paddy’s Day, Sept/Oct newsletter and printing, Last Gasp, and other miscellaneous fees.
Community & Public Relations – Larry Sassa stated there was nothing new but reiterated our upcoming events for the Eco Counter and Water Fountain. He also mentioned that the tent for Gate is probably a “no go” given the current state of things.
Classes & Clinics/Awards Banquet – It was mentioned that there would not be a social following the Festival of Lights race.
Membership – Current membership was reported as 1,306, which we appear to be trending downward.
Communications: Social Media – Larry Sassa reported that the newsletter submission cutoff date is November 15th. We should have some coverage of our upcoming events. Larry also mentioned that he may contact Stride Company about information and articles about treadmill running.
Vision & Planning – No Report.
