JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, November 5, 2019

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:29 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Nicole Andress, Christy Astorga, Bonnie Brooks, Errol Daniels, Susan Haag, Angela Harris, Dennis Harrison, Stan Lambert, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Paul Smith, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Paul Smith was absent. Guest speakers Anne Marie Moquin and Jill Enz were in attendance

Approval of 10/1/19 (October meeting) minutes: On a motion by Ty Payne and seconded by Todd O’Donnell, the October board meeting minutes were approved as submitted.

Beaches Go Green Winter Beach Run – Anne Marie of Beaches Go Green discussed how to make Winter Beach Run a green event. She discussed their experiences from volunteering at this years Donna Marathon. Methods of going green include community/runner education, using paper cups, and the use of water monsters.

ECO Counter Design Presentation – Jill Enz of COJ and Eric Miller of Downtown Vision spoke about the partnership between Downtown Vision and COJ Parks Department for the use of an ECO Counter in downtown Jacksonville. Discussion regarding the use and placement of the JTC Running logo will continue as the project goes forward.

Treasurer’s Report: Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail Statement through November 4, 2019. Line items discussed included income and expenses from Summer Beach Run, half marathon training class, memberships, JALA donation, USO half marathon, newsletter, Facebook ads, and race entries.

OLD BUSINESS:

Summer Camp Scholarship Program Project – Larry Roberts proposed that the application period opens February 15th. We have a volume arrangement with Brevard for next year as the program has been revamped. Campers attending Brevard will receive majority of tuition expenses paid, while other campers will be reimbursed a set amount. It was discussed about some of the feedback that had been received from some of the previous camp attendants.

NEW BUSINESS:

Board Member Terms Expiring 12/31/2019 – Doug Tillett reported the board members with expiring terms included Doug Alred, Jane Alred, Christy Astorga, Angela Harris, Dennis Harrison, Stan Lambert, Larry Roberts, Larry Sassa, Paul Smith, and Jim Van Cleave. The board members with expiring terms were asked to communicate their intentions of returning or not, prior to their term expiration date.

COMMITTEE REPORTS:

Guana Trails Race – Sunday, December 1st – Currently 130 participants are registered, which is 30 more than last year at this time. Shirts are available and are blue half-zips this year. We plan to add Facebook live coverage and streaming of the race.

Holiday Social – Jane Alred reported that there is one more board meeting before the holiday social, which is Saturday, December 14th, at the San Marco 1st Place Store after the Festival of Lights 5K.

Last Gasp – The race will be Saturday, December 28th. Currently registration is at 28, which is expected to increase after Thanksgiving as usual.

Beaches Go Green Winter Beach Run – Larry Roberts reiterated that our corporate sponsor for the Winter Beach Run is Beaches Go Green and we will be implementing some of the suggested methods to “go green.”

Gate River Run 2020 – Doug Alred reported that we are in great shape with the current sponsors. Currently we have more than 2,800 entries. The new website is active.

Emerald Trail Plan Update – Larry Roberts reported that John Delaney has joined the GWJ board.

Where to Run in Jacksonville on JTCRunning.com – It was reported that Mac is in the process of repositioning the layout of the website in order to drive more visits to the page.

Community & Public Relations It was reported that Colin Moore is now with the City of Neptune Beach and will continue to assist with our community outreach efforts, as he has connections and is familiar with City of Jacksonville and Jacksonville Beach.

Classes & Clinics – Jane Alred and Todd O’Donnell spoke about the possibility and benefits of bringing Dick Beardsley in during the week of Gate River Run. On a motion presented by Todd O’Donnell and seconded by Nicole Andress, to bring Dick Beardsley in for 4 days during Gate River Run for $6K was passed by the board.

Finance – Bonnie Brooks discussed the organizations liquid funds and bank accounts. She stated that she had conducted research on various money market bank accounts to earn more interest for the club’s money. On a motion presented by Bonnie, seconded by Doug Tillett, to open a FDIC-insured money market account with the 1st Bank of Indiana was passed by the board.

Membership – Membership is currently at 1,364.

Communications: Newsletter, Social Media – The cutoff to submit an article or material for the next newsletter is the 15th. Discussion during Community and Public Relations.

Vision & Planning – No Report.

NEXT MEETING – The next board meeting will be Tuesday, December 3, at 6:30 pm in the Mediterrania Restaurant.

The November meeting was adjourned at 7:52 pm.
