JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, June 4, 2019

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:40 p.m. Directors present for the meeting were Doug Alred, Christy Astorga, Bonnie Brooks, Errol Daniels, Susan Haag, Franz Lerch, Ty Payne, Larry Roberts, Larry Sassa, Paul Smith, Douglas Tillett, and Jim Van Cleave. Jane Alred, Nicole Andress, Angela Harris, Dennis Harrison, Stan Lambert, Todd O’Donnell, and Stuart Toomey were absent.

Approval of 5/7/19 (May meeting) minutes: On a motion by Ty Payne and seconded by Susan Haag, the May board meeting minutes were approved as submitted.

Treasurer’s Report: Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail Statement through June 2, 2019. Line items discussed included income from National Running Day, awards banquet, and memberships. Expenses included payments for promo video, RRCA convention reimbursements, race team entries for Run to the Sun race, the newsletter, and Eric Frank for 5/18 track meet.

OLD BUSINESS:

Emerald Trail Plan Update – Larry Roberts reported that Groundworks Jacksonville has raised $103,000 of $170,000.

Where to Run in Jacksonville on JTCRunning.com – Paul Smith reported that several popular routes have been added to the website and are active for viewing. He asked for board members to review the website and make suggestions on ways to improve it. Also, he mentioned that we want the website to come up in Google searches when people search for running routes in Jacksonville.

Sulzbacher Run, Jump, Throw – The event was cancelled primarily due to lack of volunteers and heat/weather concerns. We will regroup and reschedule the event as we will need more volunteers and advanced notice for dates.

JTC Running Promotional Video – Larry Sassa reported that the main purpose and theme of the video is “JTC connecting Jacksonville past and future.” The video will tell where we’ve been, where we’re going, the roles of JTC and the River Run to the city, amongst other topics. The promo video will be debuted at the awards banquet and edited to be added to our website as well as our Youtube account.

Track Series – Our next meet is scheduled for Saturday, June 8th at 8am. Our recent track meet, held May 18th, had a very good turnout.

 Sharks Football Game 5/18, Shrimp Game 6/23 – Our next group event is the Jacksonville Shrimp game on June 23rd, which ticket information is available on our website. The information links to the Shrimp’s website were tickets can be purchased in advance for $35/person. The food service starts 1 hour before the game.

Global Running Day 6/5 – We will be participating in Global Running Day again to benefit Marathon High. We will need volunteers to assist with food grilling and setup between 6:30-7pm. Currently there are 206 signups. Doug will setup the water and the course and we will have 2 waves of runners like last year. Regina Sooey and Joy Murphy will be the group leaders.

Awards Banquet 6/13 – Doug Tillett mentioned that the committee recently had a meeting and stated that everything was coming together with the award categories, recipients, presenters, and program. Currently we have 53 registered guests, whereas last year we had 103 in attendance.

Gate River Run Management Agreement Renewal – Larry reported that the contract with 1st Place Sports has been renewed through 2024.

Summer Camp Scholarship Program – Doug Alred reported that there were 102 applicants this year, which we were able to award 62 (17 JTC members) runners a scholarship. Eighty percent of the kids will be attending Brevard, as we are spending $28,000, which we are receiving a substantial discount off the normal rate for camp.

Runner Friendly City – Doug reported that we currently have an ad hoc committee working together to put a proposal together to become a RRCA Runner Friendly City.

NEW BUSINESS:

Susan Haag spoke about Ainsley’s Angels (Mighty Triumph), which is a group for people with disabilities who get paired up with able bodied runners and athletes to compete and complete races together.

COMMITTEE REPORTS:

Gate River Run (Sat 3/9/19) – Doug Alred presented the financial report from GRR.

Gate River Run Sponsorship Committee – It was reported that Doug Alred and Dennis Harrison met with Stephen Harrington of CAA Sports (Rock ‘N’ Roll Series & Ironman) regarding current sponsors and sponsorship opportunities for next year.

Tijuana Flats Summer Beach Run – Kickoff Monday, Aug. 5Doug reported that we are all set with the city and the band. Registration is open and going well.

December Race Dates – Guana 12/1, Last Gasp 12/28

Race Committee / Track Meet Committee – Doug Alred reported that our next major race is Summer Beach Run, August 17, and we are currently on schedule and set with the City of Jacksonville Beach and Tijuana Flats.

Classes & Clinics – No Report.

Community & Public Relations Larry Sassa reported that he attended a meeting with Stan Lambert, Doug Tillett, Errol Daniels, and the Florida Striders regarding RRCA “Runner Friendly” cities. We will show the JTC promo video during the awards banquet.

Finance – On a motion presented by Bonnie and seconded by Jim, was passed by the board to raise the River Run management payment total to $40,000, to accommodate for office and staff, to go into effect as of the contracted period beginning 2019. Bonnie reminded the board that the end of our fiscal year is September 1st, so any pending expense reports need to be submitted preferably by our August meeting.

Membership – Larry Roberts reported that membership was currently at 1,347, which was in part due to new and renewals from Global Running Day registrations.

Merchandise – No report. It was discussed that we had a few ladies shorts (xs/small) remaining, that we would offer to the kids doing the 100 yard dash at the next track meet.

Communications: Newsletter, Social Media – The cutoff to submit an article or material for the next newsletter is the 15th. The newsletter is in the mail. An article written by Coach Jennifer DeSantis was discussed as a good quality article referencing JTC and the benefits of our training classes.

Vision & Planning – Doug Alred reported that he is in the process of talking with the city regarding working on the trails, like the work that has been done with Tomahawk Park trail.

NEXT MEETING – The next board meeting will be Tuesday, August 6, at 6:30 pm in the Mediterrania Restaurant.
