JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, January 7, 2020

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:36 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Christy Astorga, James Bryant, Bonnie Brooks, Errol Daniels, Susan Haag, Angela Harris, Dennis Harrison, Todd O’Donnell, Ty Payne, Larry Roberts, Paul Smith, Douglas Tillett, and Jim Van Cleave.  Directors Nicole Andress, Stan Lambert, Franz Lerch, Larry Sassa, and Stuart Toomey were absent.

Approval of 12/3/19 (December meeting) minutes: On a motion by Todd O’Donnell and seconded by Ty Payne, the December board meeting minutes were approved as submitted.

Election of 2020 Club Officers – We always elect our executive board at the beginning of the first meeting of the year.

For the office of President, Larry Roberts was nominated by Jane Alred. There were no other nominations. The vote was called and Larry Roberts was unanimously elected President.

For the office of Vice President, Larry Sassa was nominated by Paul Smith. There were no other nominations. The vote was called and Larry Sassa was unanimously elected Vice President.

For the office of Secretary, Errol Daniels was nominated by Doug Alred. There were no other nominations. The vote was called and Errol Daniels was unanimously elected Secretary.

For the office of Treasurer, our rules call for the president to name the candidate he deems best to serve as Treasurer, then the board approves his nomination. President Roberts named Bonnie Brooks as his choice for Treasurer. The board unanimously approved Bonnie Brooks for Treasurer.

Treasurer’s Report:  Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail Statement through January 3, 2020. Line items discussed included income and expenses from Guana 50K, Last Gasp, Gate River Run training class, memberships, Thanksgiving training class, Just In Queso/SBR donation, RRCA dues, newsletter, and race entries.

OLD BUSINESS:

Eco Counter – Larry Roberts reported that the Eco Counter logo was approved by the city, however the costs associated are more than expected. On a motion presented by Douglas Tillett to add $6,550 to original approved amount for the Eco Counter, seconded by James Bryant, and passed by the board. It was mentioned that the city would pay the installation fees and handle the on-going maintenance. It was also stated that the Runner statues are going to be placed back on the Riverwalk soon.

NEW BUSINESS:

RRCA Florida Championship Races: Guana, Last Gasp – Douglas Tillett stated that the 2020 RRCA Florida Championship Races still had open distances and events including cross country and ultra-races. Doug stated that he would provide more detailed information at the next meeting if this was something that the board would be interested in doing.

COMMITTEE REPORTS:

Last Gasp (Sat 12/28/19) – The final count of race participants was 299 runners, which was our highest turnout for the race. included 20 day of race signups. The feedback obtained from runners was that it was an enjoyable event.

Gate River Run Training Class Kickoff (Wed 1/8/20) – Larry Roberts reported that the Gate River Run training class kickoff will take place tomorrow night at the San Marco 1st Place Sports store. Currently there are 68 participants signed up.

Track Series 2020 – Our first meet is at Bartram Trail High School January 18, 2020, at 1pm.

Go Green Winter Beach Run (Sun 1/21/18) Doug Alred reported that the event is all set and have arranged for the use of a water monster, along with aluminum bottles instead of race medals in efforts of “going green.” Numbers are lower than usual and currently we have 150 entries.

Gate River Run (Sat 3/10/18) – Doug Alred reported that there are currently 6,000+ registered entries, which puts us 700+ entries ahead of previous years at this time. Permits are in place; however, we are still waiting on the ramp construction status.

Players Expo – Jane reported that the vendors are set as we have some new ones as well as some of the previous ones.

Elites – Jim Van Cleave reported that we currently have 26 elite athletes signed up. A few notables mentioned included Kim Conley, last year’s female winner Erika Kemp, Andy Wacker, and several McKirdy trained athletes.

Vystar Emerald Trail 5K – Larry Roberts reported that he is currently working with Doug Alred and others to plan the route for the course. He also reported that the president of Vystar is scheduled to be out of the country on the day of the race and had asked about rescheduling the event. As we cannot reschedule the race, we will try to see if Vystar can send another company representative that day.

Emerald Trail Plan – Larry Roberts reported that the Implementation Committee meet last night as things are currently progressing. Currently they are working on “road diets” to get things going. Also, various aspects including shrubs, lights, and benches, of the plans are being reviewed along with community input to ensure that there is a local feel reflected.

Where to Run in Jacksonville on JTCRunning.com – Paul Smith reported that has recently sent another 3 routes to Mac to be updated and posted to the website. It discussed that it would also be beneficial to add information regarding specific days for group runs to further assist area runners when deciding which routes to use on given days.

Community & Public Relations – Larry Roberts spoke about government involvement as we should reach out and invite our local government officials in addition to Downtown Vision, Chamber of Commerce, and Downtown Investment Authority to Gate River Run and other events. It was concluded that we should draft up a letter to send out. We are currently all set with the hospitality tent and wristbands. We will need board members and volunteers to signup for the booth to sell the club and the value of membership. This year we will not be selling any merchandise, so again the focus will be on club membership and the benefits of joining.

Classes & Clinics – Jane Alred reported on the schedule of Dick Beardsley’s visit during Gate River Run week. It was mentioned that he could be able to work the club’s booth on the 5th and/or 6th if needed. It was also discussed that there would be various other events and places he could speak at and visit.

Finance – Bonnie made a motion per the Finance Committee, seconded by Todd O’Donnell, that we award West Side High School $500 for race timing to put on their 3rd Annual HS Track Meet that is scheduled for March 7, 2020, which they expect 700-1,000 participants. The motion was passed by the board.

Membership – Larry Roberts reported membership is currently at 1,273.

Communications: Newsletter, Social Media – Deadline to make the next issue is January 15th, and we would like to use pictures from The Last Gasp if anyone has some to submit and send in.

Vision & Planning – No report.

NEXT MEETING – The next board meeting will be Tuesday, February 4, at 6:30 pm in the Mediterrania Restaurant.

The January meeting was adjourned at 7:35 pm.
