JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, April 2, 2019

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

Vice President Larry Sassa called the meeting to order at 6:34 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Nicole Andress, Christy Astorga, Bonnie Brooks, Errol Daniels, Dennis Harrison, Todd O’Donnell, Ty Payne, Larry Sassa, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Susan Haag, Angela Harris, Stan Lambert, Franz Lerch, Larry Roberts, and Paul Smith were absent.

Approval of 3/5/19 (March meeting) minutes: On a motion by Douglas Tillett and seconded by Ty Payne, the March board meeting minutes were approved as submitted.

Treasurer’s Report: Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail Statement through April 1, 2019. Line items discussed included income from awards banquet signups, GRR merchandise sales, and memberships. Expenses included payments for The Bolles School (3rd Qtr-track), race team entries for Ortega River Run, Wild Apricot renewal, and donations to Bartram Trail High School for their track meets. Other expenses paid included Coach DeSantis, Doreen Shawyer, and Half-Mile Timing Inc for the GRR training class, GRR social, and track meet timing, respectively.

OLD BUSINESS:

Emerald Trail Plan Update – Larry Sassa reported that the city council voted in support and passed the plans to move forward with the Emerald Trail at their March 26th committee meeting. committee meetings in which they will review and vote on the plans, as the plans will go before the full committee on March 26th. In conjunction with Groundworks Jacksonville, we will be having a “First Mile” Walk on Saturday, April 13th to walk the trail and have a demonstration of what’s to come. The information and link to sign up is on our website and we need board members and club members to attend to show support.

Sulzbacher Run, Jump, Throw – No Report.

JTC Running Promotional Video – Larry Sassa reported that they are making good progress with the production of the promo video. Channel 4 has been able to get a lot of content and videos including interviews with Buck Fannin and Mayor Curry. Colleen Clarson has been assisting with the project and facilitating meetings and we have Cole Pepper as the voice and narrator. Now we currently working on getting data bullet points, voiceovers, and various examples of all the things we have done in the community. We want to include examples of kids that we’ve sent to camp, recognize the runner statues we gave to the city, mention the number of charities and amounts we’ve given, and other important things we’ve done to fully tell the story of JTC Running. The goal is a 5-minute video and our timeline for a rough draft is still by the end of May.

Club Booth at Runners Expo – Sales from this year’s expo were up from previous years. We managed to sale $3,100 in merchandise in addition to $1,540 in memberships. We’d like to thank all the volunteers who worked the booth.

Track Series – Our next meet is Saturday, May 11th. It was mentioned that the meet is scheduled for Mother’s Day weekend and could affect attendance. Also, it was discussed on how we increase adult attendance and participation. What’s steps are we using to market and advertise our event? A suggestion that we make sure to discuss it with the GRR class members, the Bolles morning and evening track runners, our race team, and other adult running clubs.

NEW BUSINESS:

Sharks Football Game 5/18, Shrimp Game 6/23 – Larry Sassa discussed the club’s upcoming events that Stan Lambert had been working on in partnership with the Florida Striders. Ticket information and signups are available on our website.

Global Running Day 6/5 – We will be participating in Global Running Day again to benefit Marathon High. We will be setting up tents and running a certified 5K course from the Baymeadows 1st Place Sports. We will need volunteers to assist with food grilling and setup. Stuart stated that he would be able to help with the duties he has done in the past.

Awards Banquet 6/13 – Doug Tillett mentioned that it is the time to work on the awards and guests lists for the upcoming Awards Banquet and recommended to have a meeting in April. Jane Alred scheduled a committee meeting for April 23rd at 6pm to be held at V’s Pizza in San Marco.

COMMITTEE REPORTS:

Gate River Run (Sat 3/9/19) – Doug Alred reported that it was another well produced event in which the runners had fun. He also reported that he had previously met with SMG and the City of Jacksonville and can confirm that the race will be changing. The start line will be moved as the construction pertaining to the ramps downtown and Bay Street should be completed by next year’s Gate. He also mentioned that they watched and were impressed with the race in terms of attendance, participation, logistics, and community involvement. Also, next year’s race will be on Saturday, March 7th, the weekend before TPC. He stated he would have the final report next month. Jim Van Cleave reported on the performances of the elite runners, which there were 73 that finished the race. He reported that overall it was successful as we were able to bring in so many runners and accommodate their needs.

Gate River Run Sponsorship Committee – Dennis Harrison reported that they will meet regarding current sponsors and sponsorship opportunities for next year. This will allow us to see who and what we have and where we can go from here.

Race Committee / Track Meet Committee – Doug Alred reported that our next major race is Summer Beach Run, August 17, and we are currently on schedule and set with the City of Jacksonville Beach and Tijuana Flats.

Classes & Clinics – No Report.

Community & Public Relations Covered during Old Business (JTC Running Promotional video).

Finance – Bonnie mentioned that we received a $1,000 request from Chiefland Florida, however they are not in our covered area, so we would not be able to financial assist them.

Membership – Stuart Toomey reported that membership was currently at 1,344.

Merchandise – No report other than the news that majority of the old merchandise was sold at the expo and only a drawerful of items remain.

Communications: Newsletter, Social Media – The cutoff to submit an article or material for the next newsletter is the 10th, however if more time is needed, it would need to be in by the 15th for the latest cutoff date. Current newsletter is in the mail and the email blast has been sent. Larry Sassa reiterated the purpose and importance of our social media outlets is about connecting people and our community.

Vision & Planning – Doug Alred reported that he is meeting with Channel 4 at Tomahawk Park regarding the 2 signs with our JTC Running name on them. He also mentioned that the trail needs work and should be refurbished, however the bridge is fine. He estimated the cost could be around $10,000. A committee meeting to discuss where we’re headed as a club, the future of the Gate River Run, and other pressing topics is scheduled for April 16th, at 6pm at Wicked Barley.

NEXT MEETING – The next board meeting will be Tuesday, May 7, at 6:30 pm in the Mediterrania Restaurant.

The March meeting was adjourned at 7:55 pm.
