JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, December 5, 2017

Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:37 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Errol Daniels, Susan Haag, Angela Harris, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Lamar Strother, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Directors Colleen Clarson, Michael DelCharco, Stan Lambert, Larry Sassa, and Connie Smith were absent.

Approval of 11/7/17 (November meeting) minutes: On a motion by Lamar Strother and seconded by Todd O’Donnell, the November board meeting minutes were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail Statement through November of 2017 and then thoroughly explained all the line items. As she went through the line items, she mentioned that some may look a little different due to the new adjustments to the line items. Taxes have been completed by our CPA Smoak Davis & Nixon.

OLD BUSINESS:

Election of 2018 Board of Directors – Larry Roberts mentioned that we will need to fill several vacant board member seats for 2018. Currently we will have 3 openings, which include 1 vacant seat and 2 seats being relinquished by Michael DelCharco and Colleen Clarson. On a motion presented by Larry Roberts per the recommendation of the Executive Committee and seconded by Douglas Tillett, to elect JTC member Paul Smith to the board of directors was unanimously passed. We are still looking for other current JTCR members that we believe would be an asset to the board. A prerequisite for eligible members to be considered, would include currently being a member for at least a year.

JU Running Lab – Todd O’Donnell reported that the running lab has made vast updates since the beginning of its opening. They are currently in the process of rolling out the VO2 max analysis and have been conducting the biomechanical analysis. We should update our website to include the information and registration for the running lab. Currently JTC Running members receive a discounted rate for an analysis.

2018 Track Series – Currently the track series will consist of 6 meets (January, April, 2 in June, and 2 in July). Our first scheduled meet will be January 13, at 8am, located at Creekside High School. Registration is available on the website now.

Sulzbacher Night, Nov. 11 – Our Sulzbacher Night of Service was deemed a success on all accords. All volunteers that signed up to attend, help, and lend their time all showed up and assisted in the preparation and serving of the meals. Going forward we will schedule 1 night of service a year as a club.

NEW BUSINESS:

Committees for 2018 – Larry detailed an idea regarding the committees for the upcoming year. He introduced an idea of a communication committee that would handle our communication channels in a more centralized manner. A motion was presented by Larry to create a communications committee to be led by the Vice President to oversee the media communication of the club was seconded by Stuart and passed by the board. A suggestion was presented by Stuart, that we should condense the number of committees to be more efficient as an organization. Some of the suggested committees that needed to be addressed included Merchandise and Membership.

COMMITTEE REPORTS:

Guana Trail Races (12/3/17) – We had another successful year with over 200 runners. The number of runners was up this year. Assistant Race Director Franz Lerch stated that everything went well, except for one complaint that the race was too long due to the last-minute change of course due to flooding issues.

Last Gasp (Sat 12/30/17) – Registration is currently open and information can be found on our website. Currently we have 95 runners signed up for this event. The awards ceremony and post-race party will be held in the Kinne Center. This year the menu will be sandwiches rather than the pizza that was served last year.

Winter Beach Run (Sun 1/21/18) – Doug Alred reported that the event is all set and the open registration email will be sent out soon.

Gate River Run (Sat 3/10/18) – No Report.

Race Committee / Track Meet Committee – No report.

CLASSES & CLINICS – Jane Alred reported that there is currently a hold on all upcoming classes due to the busy schedule of the holidays and should resume early next year. Again, the clinics for 1st Place Sports and JTC Running will be in conjunction with the Running Lab with a focus on health and fitness concerns of our local running community.

COMMUNITY & PUBLIC RELATIONS – We are currently discussing options and looking for someone to take over the responsibility of the JTC tent at Gate River Run.

FINANCE – The next Finance committee meeting will be at 6 pm prior to our monthly board meeting on January 2. The finance committee met with Colin Moore of the City of Jacksonville and Kay Ehas of Groundwork Jacksonville, and expect to have a proposal to submit to the board at the next meeting.

MEMBERSHIP – Stuart Toomey reported membership is currently at 1,184 active members, which is down by 40 from last month.

MERCHANDISE – We will have limited merchandise for sale at the holiday party if we can get some assistance with getting it to and from the event. We want to see about providing online orders for our merchandise similar to other running clubs. This would enable us to perhaps sell more merchandise and avoid the need to continually transport merchandise to and from the storage unit.

NEWSLETTER – The current issue has been printed and is currently in the mail. The newsletter is accessible via the email blast that has been sent out. Deadline to make the next issue is January 10th, however arrangements can be made to extend the deadline until the 15th if someone needed additional time to submit a story.

SOCIAL MEDIA – No Report.

SOCIAL & BANQUET – The JTCR Winter Party will coincide with the Festival of Lights 5K on December 9th at the 1st Place Sports San Marco store. Jane asked if we could get volunteers to assist with food pickup and set up.

VISION & PLANNING – Doug reported that they will be meeting with the city in the next couple of weeks in regard to the updates for the trails being planned for the Sunbeam Landfill. Currently the plans are that we would not own the land, but would be able to develop the trail.

NEXT MEETING – The next board meeting will be Tuesday, January 2, at 6:30 pm in the Mediterrania Restaurant.

The December meeting was adjourned at 7:29 pm.
