JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, October 3, 2017

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:44 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Errol Daniels, Susan Haag, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Douglas Tillett, and Stuart Toomey.  Directors Colleen Clarson, Michael DelCharco, Angela Harris, Stan Lambert, Connie Smith, Lamar Strother, and Jim Van Cleave were absent. JTCR members Amy Ingles, Kay Jones, and Paul Smith attended the meeting. Additionally, Alyssa Bourgoyne and Kay Ehas from Jacksonville Groundwork attended to make a presentation to the board.

Jacksonville Groundwork Presentation: Special guests Alyssa Bourgoyne, Program Director, and newly appointed CEO of Groundwork Jacksonville Kay Ehas presented an overview of the Jacksonville Groundworks organization, programs, and plans for Jacksonville’s Emerald Necklace.

 Approval of 9/5/17 (September meeting) minutes: On a motion by Todd O’Donnell and seconded by Stuart Toomey, the September board meeting minutes were approved as submitted.

Treasurer’s Report:  Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail through September of 2017 and then explained all the line items. As part of the RRCA compliance process, the number of volunteer hours worked for 2017 was requested of each board member.

 OLD BUSINESS:

 JU Running Lab – Todd O’Donnell reported that the running lab has made vast updates since the beginning of its opening. They are currently in the process of rolling out the VO2 max analysis and have been conducting the biomechanical analysis.

Fall Half Marathon Training Class – Our fall half marathon training class kicked off on Thursday, Sept 7 and now currently has 100 people signed up. Coach Jennifer DeSantis is doing a wonderful job coaching and leading the class as the members prepare for the upcoming fall half marathons, either Thanksgiving Day or Ameris Bank. Along with Coach DeSantis, there are 24 group leaders.

 Sulzbacher Night, Nov. 11 – Our next Sulzbacher Night is scheduled for Saturday November 11, which we currently have 9 slots already filled. Registration and information is currently located on our website. Volunteers have the choice of signing up for either meal preparation and cooking or serving the meals. The cooking and preparation portion of the night runs from 3-5pm, while serving the meal takes place between 5-7pm.

2018 Track Series – The track meet dates have been set. Currently we are set up host 5 spring meets (January, April, June, and 2 in July).

 NEW BUSINESS:

Election of 2018 Board of Directors – Time for elections for the board members whose 2-year terms expire as of December 31, 2017. Board members with terms expiring includes: Doug Alred, Jane Alred, Colleen Clarson, Michael DelCharco, Angela Harris, Stan Lambert, Larry Sassa, Connie Smith, and Jim Van Cleave.

COMMITTEE REPORTS:

Tijuana Flats Summer Beach Run (TBD: Sat 8/18/18) – Doug Alred reported the final accounting for this year’s event. Doug passed out a financial analysis and confirmed that $10,400 was paid to the Just in Queso Foundation. Again, it was reiterated that this event was a financial success and generated another great turnout.

Guana Trail Races (12/3/17) – Currently registration is 9 more registrants ahead of where we were last year at this time. Participates in the races will again receive a finishers hat, medal, and be able to attend the after party. The 50K will start at 8am, while the 12K will start at 1pm, and both events will have a cap at 125 runners.

 Last Gasp (Sat 12/30/17) – Registration is currently open and information can be found on the website. Currently we have 7 runners signed up for this event.

Winter Beach Run (Sun 1/21/18) No Report

RACE COMMITTEE / TRACK MEET COMMITTEE – No report.

JTCR RACING TEAM – Larry reported that Kathy Murray is doing a fantastic job with organizing the team and making sure they are visible and well represented at races. The team continues to have strong performances, which is showcased with their results from Summer Beach Run and Labor Day 5K.

CLASSES & CLINICS – Jane Alred reported that Dr. Jim Presley, from the Mayo Clinic, will start doing a monthly clinic and series for 1st Place Sports and JTC Running in hopes of answering and discussing health and fitness concerns. The first installment will be Thursday, October 12th on the topic of injury prevention and rehabilitation.

COMMUNITY & PUBLIC RELATIONS – No Report.

 FINANCE – Bonnie requested each board member’s volunteer hours for the year.

MEMBERSHIP – Stuart Toomey reported membership is at 1,233 active members.

MERCHANDISE – No report.

NEWSLETTER – Current issue has been printed and is currently in the mail. The newsletter is accessible via the email blast that has been sent out. Deadline to make the next monthly issue is tentatively October 10th, but arrangements can be made to wait until the 15th if someone needed additional time to write or submit a story.

SOCIAL MEDIA – No Report.

SOCIAL & BANQUET – The JTCR Winter Party will coincide with the Festival of Lights 5K on December 9th at the 1st Place Sports San Marco store. Currently planning on the menu for the event.

VISION & PLANNING – No Report.

NEXT MEETING – The next board meeting will be Tuesday, November 7, at 6:30 pm in the Mediterrania Restaurant.

The August meeting was adjourned at 8:04 pm.
