JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, June 6, 2017

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:42 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Colleen Clarson, Errol Daniels, Michael DelCharco, Susan Haag, Angela Harris, Stan Lambert, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, Douglas Tillett, Stuart Toomey and Jim Van Cleave.  Director Franz Lerch was absent.

Approval of 5/2/17 (May meeting) minutes: On a motion by Lamar Strother and seconded by Susan Haag, the May minutes taken on May 2nd were approved as submitted.

Treasurer’s Report:  Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail through May of 2017 and then explained all the line items.

OLD BUSINESS:

 USATF Run, Jump, and Throw Program – Director Angela Harris who serves as the USATF Florida Association President and Youth Director conducted The USATF Youth Program called Run, Jump, and Throw events. The events hosted 350+ K-5th grade kids. The events were held on May 22 (Ortega Elementary) and May 30 (Normandy). Angela reported that the event went very well with the help from various JTC board members. A suggestion for next year was the use of the location at Trinity Rescue.

 2017 Track Series Distance Carnival – Larry Roberts reported that we currently have 300+ participates signed up already for the series.  Larry asked that each board member volunteer in at least one of the meets this year.  The date for our next track meet is scheduled for June 10 at 10am. The dates for our remaining track meets are June 10, July 15, and July 29.

 Car-Free Week, May 14 – 19 – Closing at Intuition Ale Works – President Larry Roberts, through his seat on the Bicycle Pedestrian Advisory Council gave details on the BPAC car-free week results and participation. The award ceremony was held at Intuition Ale Works on Friday, May 19, at 6 PM and recognized individuals who participated. Larry displayed a shirt from the event.

 National Running Day for Marathon High (June 7) – Currently we have 209 signed up to attend this year’s event, versus the 130+ that we had last year. Since the weather forecast is calling for rain, we will post updates on social media to ensure everyone’s safety. We are doing this event this year, just as we have for the past two.  It will be at 1st Place Sports Baymeadows on Wednesday, June 7.  As at previous events, we will accept $10 from each participant as a donation to Marathon High and then the club will match it. We will also offer discounted memberships ($5 discount) at this event. Registration for this event is located on our website and will close shortly, but be available for day of registration.

 Awards Banquet – Larry Roberts reiterated that registration remains open via the website for this year’s celebration. Currently there are 50 signed up to attend. The awards banquet will be held Thursday, June 22 at Maggiano’s Restaurant.

 Summer Running Camp Scholarships – Doug Alred reported that 71 students will be attending camp this summer. Along with JTC Running efforts, Jane and Doug Alred in conjunction with 1st Place Sports have donated an additional $10,000 to be able to send the students to camp. Doug stated that the number of applicants keeps growing each year and he believes this is “one of the best things we do” as an organization.

 Tomahawk Park Picnic – Larry Roberts stated that the celebration was well attended and fun was had by all attendees.

NEW BUSINESS:

No July Meeting – Next Meeting 8/1/17

COMMITTEE REPORTS:

Gate River Run (3/11/17) – Doug Alred passed out the Profit/Loss Standard Statement. Doug mentioned that 2017 was a good year, however the event made less than last year. It was deemed the “most competitive” 15K ever run based on times run. The event will need a new Elite coordinator going forward, as our previous coordinator has stepped down.

Tijuana Flats Summer Beach Run – (Sat, 8/26) – Race registration is now open and email blasts have been sent out. Permits and other requirements are set with the city of Jacksonville Beach. This year’s event will again have a live band for music. Our event kickoff will be held on 8/14 at the Lakewood Tijuana Flats to showcase the oldest running event in Florida.

Race Committee and Track Meet Committee – No report.

JTC Running RACE TEAM – Larry stated that we had several team members run the Corporate Run and Memorial Day race, and the team is doing very well in terms of overall and age group placings.

CLASSES & CLINICS – No Report.

COMMUNITY & PUBLIC RELATIONS – Larry Sassa reported that a phone call was placed which turned into a scheduled appointment to meet on next Tuesday (6/13/17) with the new Jacksonville Beach contact in hopes to discuss the water fountain project. Larry asked for pictures of JTC Running members and events that showcased our city and community involvement for the meeting.

 FINANCE – Bonnie reported the the new fiscal year starts September 1st. Based on the finance committee’s recommendation regarding Richard Fannin’s proposal for $750 for the timing of the cross country event, Bonnie motioned which was 2nd by Doug Tillett and passed by the board. The event details will be located on our website. A request was submitted to the finance committee from Warriors Track Elite for $1,000-$2,000 for the assistance with uniforms, travel, travel, and equipment for their upcoming event on July 9-15. A motion presented by Bonnie, 2nd by Doug Tillett, to give upto $500 to Warriors Elite was passed by the board.

MEMBERSHIP – Larry Roberts reported membership is at 1,222 active members.

MERCHANDISE – Connie Smith said that we will have merchandise for sale during the National Running Day event. Merchandise for sale will include shorts, short sleeve shirts, and hats. We will also have hats and visors for sale at the Tijuana Flats Summer Beach Run Kickoff event.  

NEWSLETTER – Current issue is currently in the mail. Deadline to make the next monthly issue is in the middle of July.

SOCIAL MEDIA – No Report.

SOCIAL & BANQUET – No Report.

VISION & PLANNING – Doug Alred reported that Shad Khan’s group, along with other community groups, are planning an urban greenway for Jacksonville along Hogan’s Creek and McCoy’s Creek. Larry mentioned this effort is being called the Emerald Necklace.  We will be working with these groups on the planning of the greenway.  Doug noted that we have the attention of community and city leaders so if we can come up with ideas of places to run, we can champion those with the city.

 

Skinner Park Bridge – The finance committee will be meeting to discuss proposals.

 

 

NEXT MEETING – The next board meeting will be Tuesday, August 1 at 6:30 pm in the Mediterrania Restaurant.

 

The June meeting was adjourned at 7:29 pm.
