JTC Running BOARD OF DIRECTORS MEETING MINUTES

Monday, May 2, 2016

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:38 p.m.  Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Errol Daniels, Michael DelCharco, Susan Haag, Angela Harris, Franz Lerch, Ty Payne, Larry Roberts, Larry Sassa, Lamar Strother, Douglas Tillett, Stuart Toomey and Jim Van Cleave.  Directors Colleen Clarson, Richard Fannin, Stan Lambert, Todd O’Donnell and Connie Smith were absent.

The board usually meets on the first Tuesday of each month but the room we use at Mediterrania was booked on Tuesday, May 3, so we changed the May board meeting to Monday, May 2, instead.

Approval of 4/5/16 minutes: On a motion by Lamar Strother and seconded by Stuart Toomey, the April minutes were approved as submitted.

Treasurer’s Report:  Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report.  She then reviewed the reports with the board.

OLD BUSINESS:

JTC Running Track Series – The first meet of the year was the Distance Carnival on April 16 at 5 pm on the Creekside High School track.  Attendance at the Distance Carnival was a bit limited since we only run longer events.  The meet went well without any notable problems.  Special medals and participation ribbons were on awarded to the runners.  The board discussed medals for future meets.

Tomahawk Park Trail Project – Doug Alred reported that the price to replace the bridge in the park will be $7,500 and the new boardwalk will be $2,500.  We now need to complete the paperwork required to make JTC Running the “Friend of the Park.”

Racing Team Steering Committee Meeting – Douglas Tillett led the discussion with the board over a couple of the ideas that came from the committee including the creation of an “Ambassador team” and the prospect that Ambassadors might get free entry into JTCR races.  The board was split as to their opinion of the Ambassadors so we decided that another committee meeting is in order, which will be scheduled during the coming month.

We did decide to add having our team participate in the Corporate Run 5K coming up on May 19 and to allow rank-and-file JTCR runners to register for the Corporate Run under our team even though they have to pay their entry fee.  Official team members will race at JTCR expense.

National Running Day for Marathon High – will be on Wednesday, June 1, at 1st Place Sports Baymeadows, and will be done similarly as last year with participants paying $10 which will be donated to Marathon High plus the club will match the $10 and double to donation.  Burgers, hot dogs, ice cream, beer and beverages will be free for participants after the fun run.

Summer Running Camp Scholarships – Doug Alred told us that students will apply online this year.  The deadline to apply is May 20.  We have 30 students who have applied to running camp scholarships already.

5K Fun Run/Walk for Association of Asthma Educators (AAE) – Our club will direct this race for AAE members who are in town for their convention on August 6 at 6:30 am.

JTC Running Awards Banquet – Jane Alred reported that the committee has met, decided the winners and other important details of the banquet, and that she is now contacting the winners and potential presenters.  Online registration is open on our website.
NEW BUSINESS:

There was no new business raised at the meeting

COMMITTEE REPORTS:

Gate River Run (3/12/16) – Race Director Doug Alred said that the final accounting for the race will be completed soon and the bottom line results will be a lot like last year.

Summer Beach Run – (Sat, 8/20/16) – Director Larry Sassa told us that a beach re-nourishment project is about to get started and wondered if it would affect the Summer Beach Run.

RACE COMMITTEE and TRACK MEET COMMITTEE – No report.

JTC Running RACE TEAM – Larry Roberts reported that we have been averaging 22 team members at each of the Grand Prix races.

CLASSES & CLINICS – No report.

COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa reported that some progress has been made with the City of Jacksonville Beach to install water fountains along certain popular running routes.

FINANCE – Treasurer Bonnie Brooks said that we received a request from Warriors Elite, the team that Richard Grooms oversees, for $5,000, to enable their team to go to USATF and AAU championships.  The money would be used to pay fees and outfit the team.  Bonnie made a motion, seconded by Douglas Tillett, that we donate $500 to Warriors Elite to pay fees plus donate up to $1,500 more for team uniforms when they provide receipts to us.  The motion passed.

MEMBERSHIP – Reported membership is at 1,190 active members.

MERCHANDISE – No report.

NEWSLETTER – The deadline for contributions to the next edition of the newsletter is May 15.

SOCIAL MEDIA – Stan Lambert has been emphasizing the Corporate Run and our upcoming National Running Day event to benefit Marathon High.

SOCIAL & BANQUET – The banquet will be on Thursday, June 23, at Maggianno’s Little Italy.

VISION & PLANNING –  Doug Alred reported that he has been working with a company in Oregon related to the condo association for the Sunbeam Landfill running project,.

NEXT MEETING – The next board meeting will be Tuesday, June 7.  It will be in our usual location inside the Mediterrania Restaurant at 6:30.

The May meeting was adjourned at 7:37 pm.
