JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, March 1, 2016

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

 

President Larry Roberts called the meeting to order at 6:42 p.m.  Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Colleen Clarson, Errol Daniels, Richard Fannin, Susan Haag, Angela Harris, Stan Lambert, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Lamar Strother, Douglas Tillett, and Jim Van Cleave.  Directors Michael DelCharco, Connie Smith, and Stuart Toomey were absent.

 

Approval of 2/2/16 minutes: On a motion by Lamar Strother and seconded by Todd O’Donnell, the February minutes were approved as submitted.

 

Treasurer’s Report:  Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report.  She then reviewed the reports with the board.

 

OLD BUSINESS:

 

JTC Running Track Series – The schedule for our track series is still being finalized. We plan to have our Distance Carnival as our first meet in April at Creekside High School.  We would like to have our May meet at Bishop Snyder but we haven’t been able to secure a date there yet.  The last three meets are planned for The Bolles School on June 4, July 2, and July 30.  We will have our schedule finalized and published by the third week of March.

 

Event Staffing for Donna Expo and GRR Expo / Tent – We think our booth at the Donna Expo went well even though we brought in less money than last year.  We are now focused on the GRR booth and tent.  Lamar Strother has our booth fully subscribed with volunteers.  We still could use more help in our tent.

 

JTC Running Screening the Film “City Slickers” During GRR Week – The movie will be on Wednesday, March 9, at 7 pm at the Sun-Ray Cinema.  The movie is about Coach Bob Larsen.  Richard Fannin reported that the coach himself will be here for the screening and recommends that we show up early.  Stan Lambert has been publicizing the film on our Facebook page.

 

Tomahawk Park Trail Project – Doug Alred said that the City is going through the process to allow us to renovate the Tomahawk Park Trail.

 

GRR Award and Ceremony – Colleen Clarson has written a script for the Award Ceremony after the Gate River Run.  We discussed the awards themselves and when they would be available for review, where they would be safely kept until the ceremony, and how the results themselves will get to the stage.

 

NEW BUSINESS:

 

JTC Running Racing Team Steering Committee – The committee will meet on Tuesday, March 22, at 6:30 at Seven Bridges.  The members of the committee are Richard Fannin, Connie Smith, Susan Haag, Colleen Clarson, Larry Sassa, Ty Payne, Douglas Tillett, Franz Lerch, and Larry Roberts.

 

USATF/FL 15K State Championship – Douglas Tillett made a motion, seconded by Bonnie Brooks, that we make the Gate River Run the USATF/Florida State Championship 15K for this year and next year and that we donate $400 each year to USATF/FL in recognition of this privilege.  The motion passed.

 

COMMITTEE REPORTS:

 

Gate River Run (3/12/16) – Race Director Doug Alred thinks we will have 16K runners registered by the start of the race.  All the planning is complete.  There are loads of volunteers.  We have bands galore all over the course plus The Firewater Tent Revival on the stage for the post-race celebration.  Good planning brings good luck.  We believe the race will go very well this year.

 

Winter Beach Run – (Sat, 1/23/16) – Race Director Doug Alred said that the financial report is forthcoming.

 

RACE COMMITTEE and TRACK MEET COMMITTEE – No report.

 

JTC Running Racing Team – Race Team was covered in “new business” – steering committee meeting planned.

 

CLASSES & CLINICS – No report.

 

COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa told us that everything was on track for our tent at the GRR.  We have planned for 400 runners to stop by.  Our cost estimate is $2,400.  The second thing the committee is working on is adding water fountains to popular running routes at the beach.  After having a number of meetings with the Jax Beach Recreation Director about this, the City now has a new Recreation Director who Larry hopes to meet with soon.

           

FINANCE – Our accountants have to report how many hours our board donated to JTCR last year so a roster was passed around the room for each director to report their hours worked.

We received a request from David Frank for support of Bear Classis – two events at $500 donation per requested.  Bonnie made a motion, seconded by Douglas Tillett, that we donate $1,000 total to this event.  The motion passed.

 

MEMBERSHIP – Larry Roberts reported membership at 1,130 active members.

 

MERCHANDISE – We plan to get our stuff to the GRR Expo on Wednesday at 2:30 for load in.  We have new pens for giveaway, we have the new JTCR shorts for sale, and we have other goods as well.

 

NEWSLETTER – The cutoff for submission of articles is March 15 per Larry Roberts.

 

SOCIAL MEDIA – Stan Lambert has posted an invitation on Facebook for our Movie on March 9.  Stan would like everybody to post their race photos to our Instagram page with the title 39RiverRuns.

 

SOCIAL & BANQUET – Jane Alred reported that Maggianno’s Little Italy has been reserved for our banquet on Thursday, June 23, with the doors at 6 and dinner at 6:30.

 

VISION & PLANNING – No report.

 

NEXT MEETING – The next board meeting will be at some other time or place than usual because “our room” is not available for us on Tuesday, May 3, at 6:30 in the Mediterrania Restaurant.  Instead, during the meeting on April 5, we will discuss whether to change the date of the meeting and meet at the usual place or whether to change the location to someplace else but still meet on Tuesday, May 3.  We look forward to seeing you there.

 

The March meeting was adjourned at 7:45 pm.
