JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, October 6, 2015
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL
President Larry Roberts called the meeting to order at 6:40 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Colleen Clarson, Errol Daniels, Michael DelCharco, Richard Fannin, Susan Haag, Angela Harris, Stan Lambert, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Lamar Strother, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Directors Larry Sassa and Connie Smith were absent.
Approval of 9/1/15 minutes: On a motion by Lamar Strother, seconded by Stuart Toomey, the September minutes were approved as submitted.
Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the August Profit & Loss Detail (because she was absent last month,) the September Profit & Loss Detail and the Balance Sheet as of Oct 3. She thoroughly reviewed the reports with the board, answering all questions.

Election For Board of Directors 2016 – At the end of each year, half the board is up for election. The secretary will send an email this month to the board, letting everyone know whose two year terms are ending, and ask them decide by the November board meeting if they’ll run for the board again for 2016 and 2017.
JTC Running App for Mobile Devices – Larry Roberts has been looking into the possibility of having us create a JTC Running app for mobile devices. He plans to present the approximate cost to the board at the November meeting.
COMMITTEE REPORTS:
Gate River Run – Doug Alred reported that registration for the race was launched on Oct 1. We have 1,300 runners signed up. The shirt design has been finalized. The sponsors are in place. As Doug said, “We are rolling.”
Richard Fannin then spoke about the elite field. He was recently in Minnesota at Twin Cities and was able to talk with elite athletes about our time incentive plan. He said he got good response from the athletes.
Tijuana Flats Summer Beach Run – (Sat, 8/22/15) – Race Director Doug Alred told of the presentation of nearly $10,000 to the Just In Queso Foundation. The foundation and Tijuana Flats think our relationship is working very well. Doug will send a final accounting of the race to the board members.
Guana Trail Races – Larry Roberts reported that he saw Mark Ryan, Race Director for Guana, who told him we already have over seventy entries. He believes the race will sell out.
Last Gasp – Larry Roberts reported that the Race Committee met to discuss The Last Gasp. The committee decided to keep the post-race party on campus near the race site. We discovered that The Klein House is available but The River House is not. The board’s consensus was that it was a good plan. We are going to go for it.
John TenBroeck Memorial Winter Beach Run – Race Director Doug Alred said that the race would be on the website soon. The race will be Jan 23, 2016.
RACE COMMITTEE and TRACK MEET COMMITTEE – No further report.
JTC Running RACE TEAM – Bonnie Brooks reported that we are paid up to date with the Grand Prix for our racing team.
CLASSES & CLINICS – The Fall Half Marathon Training Class (coached by the Metzgars) has 98 runners signed up and training.
Colleen Clarson said we should start thinking about Gate River Run week and how we want to celebrate our big race. Among other ideas, we discussed having another movie this year.
COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa, who has been working to find running tracks open for our members to use, was away this evening, but he sent in an article from The Resident that said Landon’s track was open for the public to use.
FINANCE – No further report.
MEMBERSHIP – Director Stuart Toomey noted that we have 1,006 members at this time.
MERCHANDISE – Director Connie Smith was absent from this meeting but she plans to bring JTCR merchandise to our October birthday event at Tijuana Flats.
NEWSLETTER – The newsletter is at the addressor.
SOCIAL MEDIA – Stan Lambert said we are looking for a website updater.
SOCIAL & BANQUET – We discussed the upcoming December 5 social in San Marco at 1st Place Sports and even the possibility of renting a margarita machine. Jane Alred said she would present a budget to the board next month.
Our other upcoming social event is the Wednesday evening JTCR Birthday Party at Tijuana Flats on Oct 28 at 6 pm. The social will feature $1 beers and $1 tacos.
VISION & PLANNING – Doug Alred told us he had a conversation with the Property Owner’s Association for the units near the Sunbeam Landfill and that they are now acting interested in having a running course rather than a golf course. Surprisingly, this idea has been revived and appears to be a possibility. It seems that we’re back in the game.
Ending notes – Larry Roberts and others will be meeting Riley Crawford of The Bolles School to discuss our use of their track and upcoming blackout dates.
Colleen Clarson suggested we do something to “punch up” the birthday event in October.
NEXT MEETING – The next board meeting will be on Tuesday, Nov 3 at 6:30 in the Mediterrania Restaurant.
