JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, September 1, 2015
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:39 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Colleen Clarson, Errol Daniels, Susan Haag, Stan Lambert, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Directors Bonnie Brooks, Michael DelCharco, Richard Fannin, Angela Harris, and Franz Lerch were absent.

Approval of 8/4/15 minutes: On a motion by Lamar Strother, seconded by Stuart Toomey, the August minutes were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks was away on vacation so we didn’t get copies of the Balance Sheet and the Profit & Loss Detail Reports for the month but we will receive the August financial results when she returns in October.

OLD BUSINESS:

There were no items of Old Business on the agenda.

NEW BUSINESS:

There were no items of New Business on the agenda.

COMMITTEE REPORTS:

Gate River Run – Richard Fannin and Doug Alred have been working with the Race Committee to replace the TenBroeck Cup for the race in 2016 and instead have JTC Running adopt an “Elite Incentive Plan” to encourage an excellent turnout of elite athletes at the Gate River Run. The club would provide cash prizes to athletes that beat our time standards for the 15K distance. Larry Sassa made a motion, seconded by Ty Payne, that we adopt that plan that was detailed in an email, dated Sept 1, 2015, from Richard Fannin to the members of the board. The motion passed unanimously.
Regarding the Gate River Run, Doug Alred told us that the prize money for Florida athletes is going up, that we are going to have an October kickoff for race registration.

Tijuana Flats Summer Beach Run – (Sat, 8/22/15) – Race Director Doug Alred thinks the race went great. We had over 2,100 runners. Everybody loves the shirt. The medals were very popular. Tijuana Flats did an outstanding job. The race raised a lot of money for the Just In Queso Foundation. Our kickoff event at Tijuana Flats Lakewood was a big success.

Guana Trail Races – Registration is open through the 1st Place Sports website and we already have runners registering for the event.

Last Gasp – The date for the race has been established as December 26th.

John TenBroeck Memorial Winter Beach Run – The date for the race has been set as Jan 23, 2016.

RACE COMMITTEE and TRACK MEET COMMITTEE – The Race Committee has been focusing on The Last Gasp as our club’s 40th Anniversary event featuring the super-affordable entry fee of $3 for JTCR members and a memorable post-race event, the location of which is still being investigated. We would like to stay on the JU campus for the awards ceremony and party, perhaps in The River House or perhaps inside tents that we would rent and erect near the amphitheatre. We do not believe that our traditional post-race spot of The Scoreboard will work for this event because we are hoping for a large crowd that the small space in Scoreboard will not accommodate.

JTC Running RACE TEAM – We had a good turnout of our team runners at the Tijuana Flats Summer Beach Run. Jane Alred said that new tops for our lady runners are now in and ready to be picked up.

CLASSES & CLINICS – The Fall Half Marathon Training Class (coached by the Metzgars) starts on Sept 10.

COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa said we are trying to target certain schools to make their running tracks available to our club and perhaps the general public. Discussion included the way all the high school tracks in town are locked up. We wondered if Middle School tracks might be more open.

FINANCE – Larry Roberts reported that Stanton has asked for $500 to support a 5K. Todd O’Donnell made a motion, seconded by Stuart Toomey, that we provide the $500. The motion passed.
San Pablo Elementary PTA has requested our support to help pay for the timing of an event they will hold on Dec 12 – a kids event. Doug Alred made a motion, seconded by Todd O’Donnell, that we provide $500. The motion passed.

MEMBERSHIP – It was noted that we have 961 members at this time.

MERCHANDISE – Director Connie Smith asked the board to consider whether we want to have a booth at the Donna Expo. Jane Alred told us of her meeting with the Donna people just this week. The board discussed it and decided to have a booth at the Donna Expo for the next two years.

NEWSLETTER – The submission deadline for the next issue of The Starting Line is Sept 10.

SOCIAL MEDIA – Stan Lambert did not have any issues or questions to discuss.

SOCIAL & BANQUET – Jane Alred noted that our Christmas event in San Marco will be on Dec 5.

VISION & PLANNING – Doug Alred told us that the city is trying to get our parks fixed up. Skinner Park got the grass cut, making it much more inviting to run the trail. The city is also working to upgrade the Beauclerc Road Running Path.

NEXT MEETING – The next board meeting will be on Tuesday, Oct 6 at 6:30 in the Mediterrania Restaurant.

The September meeting was adjourned at 8:00 pm.
