JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, June 2nd, 2015
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:44 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Colleen Clarson, Errol Daniels, Todd O’Donnell, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Directors Michael DelCharco, Richard Fannin, Stan Lambert, and Franz Lerch were absent.
Larry Roberts welcomed JTCR members Susan Haag and Ty Payne who attended the meeting as guests. Larry said they, along with Angela Harris of Epitome of Excellence, are interested in serving on our board.

Approval of 5/5/15 minutes: On a motion by Lamar Strother, seconded by Stuart Toomey, the May minutes were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report for the month. She thoroughly reviewed both reports with the board. Bonnie told us that our taxes have been filed, on time, for the year. Bonnie will be away from town, on vacation, from June 26 through July 20 or so.

OLD BUSINESS:

JTCR Track Series – Our third track meet of the season is coming up on June 6 with a noon start at the Creekside High School track.

Decathlon / Heptathlon – We have twenty athletes signed up for this competition which is this weekend at Creekside High School, running alongside our track meet.

Bolles Track Workouts in June – The Bolles track is not available for our morning or afternoon workouts during June because Bolles is resurfacing the field. The pace of work looks good as the old turf has already been removed. Our morning workout group has moved to UNF for the month while our afternoon workout group is staying close to Bolles and running nearby their campus.

Baseball Social – Our baseball social will be on Saturday, July 25th. We have twenty seven reservations so far while our minimum commitment is for forty attendees.

JTC Running Awards Banquet – The JTCR Awards Banquet will be on Thursday, June 25th, at Maggiano’s Little Italy. The banquet committee met this evening to finalize plans. The menu will be the same as last year. Reservations should be made and paid for on our website. Our new JTC Running backdrop should be delivered to us by then so we plan to display it at the banquet. We need a photographer for the evening.

Water Fountain Project – We will be concentrating on the proposal to install water fountains on certain running trails and popular running routes in the near future. Colleen will try to call Jimmy Wilkins to assist us in our planning efforts.

Open Track Access – Larry Sassa and Doug Alred are formulating a plan for action. Our goal is to find track facilities that our members are able to use for their training.

Summer Running Camp Grants – Doug Alred distributed a list of 37 students who are the most qualified to receive one of our running camp grants or receive the Terry Sikes Memorial running camp scholarships. On a motion by Doug, seconded by Todd O’Donnell, the board voted to increase our budget to enable us to send all of these students to summer running camp.

National Running Day – The club’s celebration of running, in conjunction with 1st Place Sports and to benefit Marathon High, is tomorrow at FPS-Baymeadows. We need volunteers to help at the event. People have been going to the JTCR website and making reservations, donations to Marathon High, and lengthening their term of club membership in greater numbers than we anticipated, which is good. It looks like we will have a crowd for National Running Day. Jane Alred noted that we will need more beverages and more food that we originally anticipated so she made a motion, seconded by Douglas Tillett, that we raise the food budget to $1,000. The motion passed.

NEW BUSINESS:

Groundwork – Jacksonville – Larry Roberts talked about this group. Their initial focus is on turning brown fields into green fields and rehabilitating waterways as well as creating new bicycle trails. Groundwork has a concept they call the “Emerald Necklace” where the new trails will stitch together various city parks around the central city and Springfield.

Project 180 Youth Program – The board addressed a funding request from the Project 180 Youth Program by way of an email motion between the May and June meetings. The motion that passed was for a $2,500 donation to support the Project 180 Youth Program. Representatives from Project 180 (including, perhaps, Richard Grooms) plan to attend our June track meet at Creekside High School.

July board meeting – Todd O’Donnell made a motion, seconded by Bonnie Brooks, that we skip having a board meeting in July this year, which has been our custom for the past several years. The motion passed so the board will not meet in July.

COMMITTEE REPORTS:

Gate River Run (3/14/15) – Race Director Doug Alred distributed copies of the GRR Profit and Loss Standard for this year’s race. It was an exceptional report that indicated our race is the strongest it has ever been. The dates for the next two Gate River Runs will be 3/12/16 and 3/11/17.

Tijuana Flats Summer Beach Run – (Sat, 8/22/15) – The shirt design for this year’s race is nearing completion. The medals will be available at the race. We will have a Summer Beach Run “kick-off event” at Tijuana Flats – Lakewood on Monday, August 10th, featuring a group run followed by beverages, appetizers, and the opportunity for kick-off guests to sign up for the race.

RACE COMMITTEE and TRACK MEET COMMITTEE – No report.

JTC Running RACE TEAM – no report.

CLASSES & CLINICS – The Todd Williams “Run Safer” Clinic that was held on May 18th at The Bolles School had 60 attendees.

COMMUNITY & PUBLIC RELATIONS – No report.

FINANCE – No additional items to report other than what was addressed at the top of the meeting.

MEMBERSHIP – Stuart Toomey reported 968 “current” members in JTC Running.

MERCHANDISE – Connie Smith will bring some of our JTCR merchandise to the National Running Day event.

NEWSLETTER – The next issue of The Starting Line is at “the addresser” and should be delivered to our members in about a week or so.

SOCIAL MEDIA – No report.

SOCIAL & BANQUET – No additional report other than our earlier report on The Awards Banquet which will be on June 25th.

VISION & PLANNING – Doug Alred is still thinking about the Sunbeam Landfill, realizing that it could be a great place to run. The condos will be built on the flat where the golf course was going to be but the mountain is not acceptable for homebuilding. Doug went to a meeting last week, trying to convince the POA to put running trails on the mountain part of the property.

NEXT MEETING – The next board meeting will be on Tuesday, August 4th at 6:30 in the Mediterrania Restaurant.

The June meeting was adjourned at 7:47 pm.
