JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, December 2nd, 2014
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL
President Larry Roberts called the meeting to order at 6:40 p.m. Directors Dave Moritz, Bob Fernee, Doug Tillett, Doug Alred and Jane Alred were absent. Errol Daniels and Mark Goetz attended the meeting as guests.
Approval of 11/4/14 minutes: Lamar Strother made a motion to accept the November minutes as submitted. The motion passed.
Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet dated Nov. 30, 2014 and the Profit & Loss Detail Report for November and reviewed both reports with the board.
OLD BUSINESS:
Half Marathon & Gate River Run Training Classes – The Half Marathon Training Class concluded with the Subaru Half Marathon on Thanksgiving and registration for the 2015 GRR class is now open with three signed up so far. Those who attended the Half Marathon class received a $5 off code for the GRR class.
JTCR’s 40th Birthday & the 40th Running of the John TenBroeck Memorial Winter Beach Run – We were unsuccessful in securing Firehouse Subs as a title sponsor. Colleen Clarson was successful in obtaining the Mayor’s agreement to issue a proclamation commemorating JTC Running’s 40th anniversary. There was discussion of a staging a luncheon in conjunction with the proclamation a week or two prior to the GRR.
• Colleen and Larry Sassa will work with Doug Alred on details of the luncheon and report at the January Board meeting.
JTC Running Board of Directors for 2015 – Mark Goetz, attending the meeting, expressed interest in joining the Board. Errol Daniels has been vetted for the Board by the Executive Committee. Several vacancies remain if qualified Club members can be recruited.
Track Meet Series for 2015 – Director Todd O’Donnell advised by email that the Bolles Track Event Schedule will be available online by Dec. 15 and when available he will look for suitable open dates for our meets.
• Todd O’Donnell to determine plausible dates for our 2015 track meets.
JTC Running Racing Team Leadership – Stephanie Griffith has taken over leadership of our racing team and the team participated in the Half Marathon on Thanksgiving. There is a post on the Club’s website about it.
Newsletter Matrix Planner – Doug Tillett has advised that the planner was not used in preparation of the current newsletter but he remains committed to implement it for future issues. Colleen Clarson advised that JOI may be interested in submitting an article for each issue instead of renewing their ad on the Club’s website. There was discussion of whether the Club should publish only JOI articles or entertain those from other orthopedic providers as well. It was mentioned that the official provider for the GRR is Heekin.
• Doug Tillett, as the Newsletter Committee Chair, will guide the committee through the process of establishing a newsletter matrix planner.
• Colleen Clarson and Larry Sassa will explore the JOI issue and report at the January Board meeting
Updated Membership Brochure – Stuart Toomey passed around a draft copy of the revised brochure. Suggestions were offered for a different picture on the last page.
• Stuart will finalize and have 300 printed in time for the Christmas social.
Sulzbacher Night – Michael DelCharco announced that all slots are filled for the Dec. 14 event.
NEW BUSINESS:
There was no new business presented at this board meeting.
COMMITTEE REPORTS:
Gate River Run (3/14/15) – No report.
TenBroeck Cup Team Competition – Richard Fannin discussed the possibility of renaming the Cup. and discussion followed of the pros and cons. Richard also proposed combining a sponsor for the elite runners dinner with a name speaker for the dinner. There was discussion of possible sponsors and speakers.
• Richard, Colleen, and Larry Sassa will pursue these possibilities and report at the January Board Meeting.
Back-To-Nature Trail Races (12/7/14) – Stuart Toomey advised that 190 have registered and Mark Ryan advised to keep registration open.
Last Gasp (12/21/14) – Larry Roberts advised that 49 have registered so far.
John TenBroeck Memorial Winter Beach Run – No report.
RACE COMMITTEE and TRACK MEET COMMITTEE – No report.
JTC Running RACE TEAM – No report.
CLASSES & CLINICS – No report.
FINANCE – Committee Chair Bonnie Brooks presented and explained the 2015 budget line by line. The finance committee had met before the Board Meeting and approved the 2015 budget. After review a motion was made by Franz Lerch to approve the budget and the motion passed. Bonnie was congratulated for the detailed and timely budget work.
MEMBERSHIP – Stuart Toomey reported that we have 911 memberships. The surge in memberships from the Fall Training Class has been followed by a number of non-renewals.
MERCHANDISE – Director Connie Smith said we will have a 40th anniversary “special” shirt.
• Connie will start work on the design and report at the January Board Meeting.
NEWSLETTER – The current issue is at the printer. Cutoff for the next issue is 1/10/15.
SOCIAL MEDIA – No report but general discussion that Stan is doing a great job with the Club’s Facebook page.
SOCIAL & BANQUET – The holiday ornaments that will be sold and given with membership renewals at the JTC Running Christmas Social in the 1st Place Sports San Marco store on December 13th have arrived.
COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa displayed the special 40th anniversary logo that Stan Lambert developed with Carly at FPS. The logo will be used extensively throughout 2015. The Mayor’s proclamation and a special luncheon were further discussed.
VISION & PLANNING – No report.
NEXT MEETING – The next board meeting will be Tuesday, Jan. 6th at 6:30 inside Mediterrania Restaurant.
The December meeting was adjourned at 7:51 pm.
