JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, September 2nd, 2014
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL
President Larry Roberts called the meeting to order at 6:40 p.m. Directors Erika Bjork and Bob Fernee were absent.
Approval of 8/5/14 minutes: Lamar Strother made a motion, seconded by Franz Lerch, that we accept the minutes as submitted. The motion passed.
Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet dated Sept 1, 2014 and the Profit & Loss Detail Report for August, 2014. She thoroughly reviewed both reports with the board. Bonnie reported that Larry Roberts adjusted the club membership reporting price slightly so that we can differentiate between memberships paid vs training class payments.
OLD BUSINESS:
Half Marathon Training Class – This year’s Half Marathon Training Class kicks off next Tuesday, Sept 9, at 6:30 in the 1st Place Sports store in Town Center. We agreed to a new contract with our coach, John Metzgar, that works on a sliding scale that will provide a greater incentive for continued involvement. Larry Roberts has been monitoring class sign-ups and said 50 runners have joined the class with 34 of them new JTCR members, and there is still a week to go until the first class.
NEW BUSINESS:
JTC Running’s 40th Birthday – Director Stan Lambert volunteered to head up a new committee to plan activities and celebrations that will call attention to our 40th year and make it a big deal. Doug Alred pointed out that this January will be the 40th running of the John TenBroeck Memorial Winter Beach Run. Stan wants to pursue publicizing these anniversaries. Director Colleen Clarson suggested we develop a 40-year logo to display prominently on any of our documents or web pages for all of next year.
COMMITTEE REPORTS:`
Gate River Run (3/14/15) – Race Director Doug Alred reminded us that the “race logo” contest is still ongoing until October 3rd. Meanwhile, we are still negotiating with potential new sponsors.
TenBroeck Cup Team Competition – Director Richard Fannin had no new news to report.
Tijuana Flats Summer Beach Run – Race Director Doug Alred reported that the race was a big success with our biggest turnout since 1982. Tijuana Flats was happy with everything and had a big night, making tacos for everybody and dispensing 13 of the 15 kegs they brought to the post race celebration.
Back-To-Nature Trail Races (12/7/14) – Larry Roberts said that we have received five entries in the mail but we anticipate that most people will register online. We have posted a notice of the Back To Nature races on the RRCA site.
Last Gasp (Sat, Dec 27) – It was confirmed that our cross country race at JU is still scheduled for December 27th.
RACE COMMITTEE and TRACK MEET COMMITTEE – no report.
JTC Running RACE TEAM – No report.
CLASSES & CLINICS – Jane Alred said that a date has not been determined for an upcoming panel discussion on the topic of Physical Therapy but the committee is working on plans for the panel.
Colleen Clarson has been working with Trisha Meili, who wrote “I Am The Central Park Jogger,” for an appearance at a future clinic. Her appearance fee is $2,500.
FINANCE – Committee Chair Bonnie Brooks chaired a Finance Committee meeting this evening before the board meeting.
We received a support request for $500 from San Pablo Elementary School for their track meet scheduled on Dec 6th. Bonnie Brooks made a motion, seconded by Stuart Toomey, that we grant their $500 request. The motion passed.
Secondly, Easy Peasy requested our financial assistance for their website. Bonnie Brooks made a motion, seconded by Franz Lerch, that we provide $500 to Easy Peasy. Following discussion, the item was referred back to the Finance Committee.
MEMBERSHIP – Larry Roberts noted that he has been handling the Membership Coordinator job for the past several months so tonight he was happy to announce that Stuart Toomey has volunteered to take over the job. In terms of club member numbers, we have 902 active members as of this morning.
MERCHANDISE – Connie Smith was in the tent at the TF SBR with JTCR short sleeve shirts and other merchandise, for sale. She also encouraged attendees to join our club.
NEWSLETTER – The deadline for submissions for the next edition of The Starting Line is Sept 10th.
SOCIAL MEDIA – Stan Lambert continues to make daily Facebook and Twitter posts for our club.
SOCIAL & BANQUET – Our next social opportunity will be the annual JTC Running Christmas Social in the 1st Place Sports San Marco store on December 13th at 6 pm.
COMMUNITY & PUBLIC RELATIONS – Larry Sassa, as Chair of the committee, said he likes the idea that we are forming an ad hoc committee to organize events for the club’s 40th anniversary. He said the CPR committee will undoubtedly be involved in that effort as well.
VISION & PLANNING – Doug Alred said that there is no new news from the Vision & Planning Committee.
NEXT MEETING – The next board meeting will be Tuesday, October 7th at 6:30 in the Mediterrania Restaurant.
The September meeting was adjourned at 7:56 pm.
