2009 January Board of Director Meeting Minutes

Tuesday, January 6, 2009

Location: Pizza Palace, Baymeadows Road

President for 2008, Larry Roberts, called the meeting to order at 7:06 p.m. Directors Margaret Barton and Sean McCormack were absent.

Approval of 12/2/08 minutes: Trib La Prade suggested we clarify which pages of The Starting Line will be printed in color. David Hall made a motion, seconded by Michael Fitzsimmons, that we accept the minutes with the anticipated clarification. The motion passed. The clarified minutes will be printed in the upcoming edition of the newsletter.

Welcome of New Board Members: We welcomed the new board members for 2009: Bonnie Brooks, Richard Fannin, Mark Ryan, and Margaret Barton (although Margaret was unable to attend the meeting due to unavoidable obligations at work.)

Election of 2009 Officers: Our precedent has been to elect the officers for the new year at the beginning of the meeting. Larry Roberts asked for nominations for President. David Hall was the only nominee and was immediately elected. At that moment, David Hall became the president and took over chairing the meeting, continuing the election. For Vice President, Larry Roberts was the only nominee and was elected. For Secretary, Douglas Tillett was the only nominee and was elected. For Treasurer, there were two nominees: Owen Shott and Bonnie Brooks. Bonnie Brooks was elected Treasurer by a vote of 9 to 6. To recap, our 2009 officers are:

President – David Hall

Vice President – Larry Roberts

Secretary – Douglas Tillett

Treasurer – Bonnie Brooks

Treasurer’s Report: Treasurer for 2008, Owen Shott, supplied copies of our P & L Detail, our Balance Sheet, and our Budget vs. Actual page for review by the Board. There were no questions from the board regarding the report.

OLD BUSINESS:

David Frank made a motion, seconded by Trib La Prade, that we compensate our newsletter layout artist and our editor at $300 per person, per issue. A prerequisite that we obtain a letter of understanding and a commitment of one year’s service was added to the motion. The motion passed.

NEW BUSINESS:

Compensation for Training Class – Doug Alred told us that our 5K Training Class, coached by John Metzgar, had finished. He wanted to make sure that we sent our check for $1,500 to John for coaching the class. No motion was necessary as board action had occurred in the past that called for paying our coach.

COMMITTEE REPORTS:

RACE COMMITTEE – The Race Committee will meet on Wednesday, January 14, at 6:30 in the Rib Shack.

Last Gasp – The race was held on December 28. Herb Taskett provided the finisher’s results in printed format.

Winter Beach Run – Race Director Doug Alred said application forms for the race, scheduled for Feb. 8, are now available. We won’t be able to provide beer after the race this year because of expensive requirements that we put up fencing and hire guards. We’ll have the WBR packet stuffing “party” on Wednesday, Feb 4.

Gate River Run – Race Director Doug Alred said the race will be finishing outside the stadium this year, with all post-race activities at the Fairgrounds. Volunteers can sign up at active-dot-com. He has met with Chet Fussman of the Times-Union to coordinate with the newspaper. Doug says we still need a race director for the Diaper Dash.

CLASSES & CLINICS – Our 15K training class started off in December and will continue through March. Jane Alred reported we’re at a lull on “clinics” at this time as we’re focused on GRR instead.

COMMUNITY & PUBLIC RELATIONS – Larry Sassa said the committee is busy, as we will have a booth at the National Marathon to Fight Breast Cancer Expo. We’ll be setting up the JTCRunning tent at the Winter Beach Run. Big plans are congealing for our presence at GRR, with a JTCR area including our own Port-A-Potties, possibly massage therapists, and good food and drink, catered in.

FINANCE COMMITTEE – A Finance Committee meeting will be held on Tuesday, January 13, at 7 o’clock at David Hall’s house. The purpose of the meeting is to create the 2009 budget to present to the board at the February meeting.

MERCHANDISE – No report. Carol Fitzsimmons says we have stock on hand.

NEWSLETTER – Committee chairman David Frank reminded us of our January 15 deadline. Profiles of our new board members are desired. In the upcoming issue, we’ll highlight the Gate River Run, the new TenBroeck Cup Team Competition, the Winter Beach Run, and one of the Streakers from the 15K, as well as have articles on shoes and other running gear.

WEBSITE – Trib La Prade has the website under control. He plans to focus on posting results from some of our past events, particularly track meets, when we get the information to him.

SOCIAL & BANQUET – Our Christmas Social in San Marco turned out well. We discussed the details of our upcoming JTCRunning post-race food-feed socials at the Winter Beach Run and the St. Patty’s Day Run.

VISION & PLANNING – Doug Alred, Committee Chair, said the City Council has cleared the way for our bridge in Baker Skinner Park, and that construction was soon to be under way.

NEXT MEETING – will be Tuesday, February 3, 2009, at 7 p.m., at the Pizza Palace on Baymeadows Road, directly across the street from 1st Place Sports.

The meeting was adjourned at 8:40 p.m.
