2009 April Board of Director Meeting Minutes

Tuesday, April 7, 2009
Location: Pizza Palace, Baymeadows Road

President David Hall called the meeting to order at 7:08 p.m. Directors Richard Fannin and Sean McCormack were absent. Rex Reed, Membership Coordinator, and Bill Dunn, Guana Ultra Race Director, attended the meeting.

Approval of 2/3/09 minutes: The minutes were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks supplied copies of our P & L Detail and our Balance Sheet for review by the Board. She reported that everything is now balanced, QuickBooks is straight, our 2008 interest has been added in, and our CD’s have been upgraded. There were no questions from the board regarding the report.

OLD BUSINESS:

1st Coast Kids Triathlon – We made a $1,500 donation to this event. JTCRunning involvement has been encouraged by the tri’s race management. Bobby Green volunteered to contact them to ensure they have what they need from us.
RRCA National Convention – Douglas Tillett reported on the convention, which was held on the March 26 thru 29 weekend in San Francisco.
1st Place Sports Contract for Race Management – Update – David Hall told us of the meeting, which he described as very positive, held between the JTCR Executive Committee and FPS Management.

NEW BUSINESS:

Retaining Attorney Mike Leas – Larry Roberts made a motion, seconded by Lamar Strother, that we allocate $3,000 for attorney fees to hire Mike Leas for JTCRunning in support of the Gate River Run contract being negotiated. The motion passed.
Girls On The Run 5K Sponsorship – Mike Fitzsimmons made a motion, seconded by Larry Roberts, that we sponsor the upcoming Girls On The Run 5K at $2,500. At this level, our logo will appear on the race shirt and the fliers, and we’ll be entitled to include JTCRunning literature in the race packets. The motion passed. The race will be Saturday, May 9, at FCCJ’s North Campus.
Nomination Process Improvements – Doug Alred made a motion, seconded by Bobby Green, that we form an ad-hoc committee to explore the possibility of creating a nominating committee that will develop guidelines and establish qualifications for volunteers for the JTCR Board of Directors, as well as head up elections into the future. The motion passed by a vote of 12 to 4. Larry Roberts will head the ad-hoc committee. Its first meeting will be Wednesday, April 15, at 7 p.m. at Pizza Palace on Baymeadows Road.

COMMITTEE REPORTS:

RACE COMMITTEE – No report.

Last Gasp – The race is complete and closed until the 2009 race at the end of this year.

Winter Beach Run – Race Director Doug Alred distributed the final accounting for the race, showing we made a $5,861.16 profit on this year’s race. Lamar Strother distributed a sheet with feedback he had received about the race.

Gate River Run – Race Director Doug Alred thinks the finish this year was the best ever. We had more runners sign up and more finishers than ever. There were more bands than before. The expo was good. He thought the JumboTrons, the instant results, and the one-time-use chips all worked well, but plans to move the JumboTron further back next year. He’s also planning for five starting corrals for the 2010 race. The elite team competition was as good as it could be. This was a very successful year for the GRR.

Guana River 50km Trail Run and Relay – Bill Dunn, who directed the race for the 4th year, was a guest at the meeting. He said we had about the same number of runners as last year. Sponsorship was good. The race showed a profit of $1,700. He would like us to consider making a donation to Friends of Guana in the future. We need them as an ally to continue running the race in the reserve.

Track Series – Mile Festival – Lamar Strother distributed an accounting of the race, showing an expense of $152.15. The Mile Festival had 22 athletes and 14 officials participating.

CLASSES & CLINICS – The next clinic will be at 1st Place Sports on April 16, featuring Drew, a physical therapist from JOI.

COMMUNITY & PUBLIC RELATIONS – Larry Sassa reports that a committee meeting wasn’t held, but reviewed the results of our tent at the Gate River Run. He believes we learned a few lessons about how we should handle it next year to make the effort a bigger success.
Margaret Barton suggested a community service project for our club and made a motion that we allocate up to $500 to feed the homeless a meal at the Sulzbacher Center, which has availability in August. The motion passed and we asked her to proceed with making plans.

FINANCE COMMITTEE – No report.

MERCHANDISE – Carol Fitzsimmons reported depositing $454 from merchandise sales at the expos for the Breast Cancer Marathon and GRR, plus $255 in new memberships.

NEWSLETTER – Committee chairman David Frank made a motion that we increase our ad rates to $200 / $100 / $50 – and eliminate the “business card” ad, which was seconded by Douglas Tillett. The motion passed.

WEBSITE – Trib La Prade continues to handle updates on our website and encouraged contributions of “copy” from the board.

SOCIAL & BANQUET – No report.

VISION & PLANNING – Doug Alred, Committee Chair, said the bridge in Skinner Park has been built – the total price was only $15,000.

NEXT MEETING – will be Tuesday, May 5, 2009 at the Pizza Palace on Baymeadows Road, directly across the street from 1st Place Sports at 7 p.m.

The meeting was adjourned at 8:59 p.m.
