JTC Running BOARD OF DIRECTORS MEETING MINUTES

Monday, January 7, 2019

Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:38 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Nicole Andress, Christy Astorga, Bonnie Brooks, Errol Daniels, Susan Haag (via phone), Franz Lerch, Ty Payne, Larry Roberts, Larry Sassa, Paul Smith, Douglas Tillett, Stuart Toomey, and Jim Van Cleave. Angela Harris, Dennis Harrison, Stan Lambert, and Todd O’Donnell were absent. Approval of 12/4/18 (December meeting) minutes: On a motion by Douglas Tillett and seconded by Ty Payne, the December board meeting minutes were approved as submitted.

Election of 2019 Club Officers:  We always elect our executive board at the beginning of the first meeting of the year.

For the office of President, Larry Roberts was nominated by Jane Alred. There were no other nominations. The vote was called, and Larry Roberts was unanimously elected President.

For the office of Vice President, Larry Sassa was nominated by Jim Van Cleave. There were no other nominations. The vote was called, and Larry Sassa was unanimously elected Vice President.

For the office of Secretary, Errol Daniels was nominated by Stuart Toomey. There were no other nominations. The vote was called, and Errol Daniels was unanimously elected Secretary.

For the office of Treasurer, our rules call for the president to name the candidate he deems best to serve as Treasurer, then the board approves his nomination. President Roberts named Bonnie Brooks as his choice for Treasurer. The board unanimously approved Bonnie Brooks for Treasurer.

The executive board for 2019 is as such.

Treasurer’s Report: Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail Statement through January 3, 2019. Lines items discussed included income from memberships from the Christmas Social and GRR training class, race entries for The Last Gasp, and GRR Training class signups. Expenses included payments for the newsletter, race team entries for Thanksgiving races, Bolles School 2nd Qtr training sessions, RRCA membership dues, expenses for The Last Gasp and Guana races, and Cube Smart storage unit.

OLD BUSINESS:

Emerald Trail Plan Update – Larry Roberts reported that the news article in the Times-Union from Mark Woods, regarding their recent trail walk, has been a success and can be found on our Facebook page. Kay Ehas of Groundwork Jacksonville is meeting with the city tomorrow to request that Groundwork be given responsibility for managing the design of the first section of the trail.

Where to Run in Jacksonville on JTCRunning.com – Paul reported that his is in the process of gathering information from various sources, including our newsletter, for popular routes to run. It was also stated that we would want to modify our website page layout so that the information and links stands out and be easily accessible to page viewers.

Sulzbacher Run, Jump, Throw – No Report.

Runner Exchange with Nantes, France – Doug Tillett stated that we would need some volunteers willing to house the exchange runners when the time comes for this to be a success. He also reported that it would be best for our runners to go there in April 2020 due to the short notice, however they would come here this October for the Marine Corps Half Marathon. Again, the opportunity is to participate in an exchange runner plan with Nantes, France, where we would provide housing for their runners during their stay here for the race and they would do the same in return for their home race. Doug also stated that he was doing more research into the race, but their website is not in English.

Gate River Run Training Class – Larry reported that there were 97 paid participants as this is a better turnout than the last class. The 1st class is this coming Tuesday at the Riverside YMCA.

Winter Track Meet @ Bartram – Larry mentioned that the event is scheduled for 8 AM, January 19, and would appreciate some volunteers to assist with the event.

NEW BUSINESS: (None)

COMMITTEE REPORTS:

Last Gasp (Sat 12/29/18) – Attendance reached 239 runners. The event afterparty included the race awards and Lamar’s retirement party. It was stated that Lamar enjoyed the party and his retirement cake.

Winter Beach Run (Sat 1/19/19 @ 2pm) – Doug Alred reported that we are set with the beach permits and volunteers.

Gate River Run (Sat 3/9/19) – Doug Alred reported that we are ahead of schedule in terms of registrants and expo vendors. Currently 5,500 signed up and January is usually when starts picking up.

Gate River Run Publicity/Sponsorship Committee – No Report.

Guana – Franz Lerch reported that this was our 2 best year as we had 222 participants, compared to 236 in 2014. The trail was dry and the temperatures were hot, so it made for a good event. Issues to address for next year include the coordination of the pictures for the 12K by verifying the race start time and confirming pictures will be taken during specific times if not during entire event. Also, address the management of the aid stations as we currently had 3 aid stations including 1 manned and 2 unmanned stations. It was reported that the aid stations ran out, so it’s suspected that water was dumped out and/or misappropriated. Franz stated that the winner was able to stay with him and his family after the race.

Race Committee / Track Meet Committee – Track meet 1/19/19, same day as Winter Beach Run.

Classes & Clinics – No Report.

Community & Public Relations (Gate River Run Video) – Larry Sassa reported that there was nothing new since the last meeting, however you would like for other board members to also meet with Allen Frazier. Larry also reported that he had not heard back from other food services regarding the GRR hospitality tent. We are open for suggestions, but it is a must that they be able to serve the food. Usually our budget is $2,700 to feed nearly 300 people.

Finance – Bonnie stated that there was one finance request from Jacksonville Athletic Club for a $500 sponsorship of their 1st elementary school event, Jacksonville Elementary School Track and Field Championships. The event should reach 300 people and is open to kids attending any local area school. Our name would be included on the banner and logo. Based on a recommendation of the Finance committee, Bonnie presented a motion, seconded by Douglas Tillet, and passed by the board to award $500 to Jacksonville Athletic Club for the event scheduled for 4/6/19.

Membership – Membership was currently at 1,271 active members.

Merchandise LogoXpress – Discussion whether to sell and have new merchandise on hand at the upcoming GRR expo was had. A question regarding the focus and purpose of having JTC merchandise was brought up due to the results of current online sales as well as previous expo sales figures.

Communications: Newsletter, Social Media – The cutoff to submit an article or material for the next newsletter is the 10th, however if more time is needed it would need to be in by the 15th at the latest cutoff date.

Vision & Planning – No Report.

NEXT MEETING – The next board meeting will be Tuesday, February 5, at 6:30 pm in the Mediterrania Restaurant.

The January meeting was adjourned at 7:46 pm.
