JTC Running BOARD OF DIRECTORS MEETING MINUTES
Monday, February 27, 2017
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:40 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Colleen Clarson, Errol Daniels, Michael DelCharco, Susan Haag, Todd O’Donnell, Ty Payne, Larry Roberts, Lamar Strother, Douglas Tillett, Stuart Toomey and Jim Van Cleave. Directors Angela Harris, Stan Lambert, Franz Lerch, Larry Sassa, and Connie Smith were absent.

Approval of 2/7/17 minutes: On a motion by Lamar Strother and seconded by Stuart Toomey, the February 7 minutes were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit and Loss Detail through the end of February 2017 and then explained all the line items to the board of directors. The P & L included the large expenditure of $41,732.80 for the Tomahawk Park Trail refurbishment project we financed.

OLD BUSINESS:

JTCR Booth at Donna Expo – We discussed the Donna Expo and how things went at our booth. Our comments were generally favorable although some of us had the perception that foot traffic seemed light.

Event Staffing for GRR Expo / Tent – Larry Roberts noted that our volunteer sheet was filling up and that the tent has some volunteer teens. We still could use more volunteers though.

NEW BUSINESS:

Merchandise at Retro River Run – We discussed trying to get the JTCR tent with merchandise out of the RRR. We had a volunteer to work the tent before the race but didn’t have staffing for during and after the race.

GRR Awards Ceremony – The Awards Ceremony should start about 10:30am. Todd and Trib will coordinate passing the awards, which are picture frames, to the VIP’s awarding them to the athletes. Awards to be presented on the stage will include the Top 10 men and women and Master’s men and women winners. One new thing will be an Awards Tent next to the stage where age group winners can get their awards the day of the race.

COMMITTEE REPORTS:

Gate River Run (3/11/17) – Doug Alred reported that the GRR Hall of Fame ceremony is scheduled for Tuesday, March 7, in the Jacksonville Veterans Memorial Arena. The Retro River Run will be on Saturday, March 4, in the late afternoon. Mayor Curry will speak at the start of this year’s Gate River Run. The GRR statue we previously discussed is currently behind schedule; however, GATE and Mayor Curry are on board for it. The Gate Retro River Run had 1500 entries. GRR entries are around 15,000 which are ahead of last year at this time. The expo is pretty full.

GRR Elite Event – Doug Alred reported that Richard Fannin has been working hard to bring in one of our strongest elite fields in years. We currently have several Olympians signed up to run.

Race Committee and Track Meet Committee – No report.

JTC Running RACE TEAM – Larry said our team members are doing really well and continue to place high in their respective age groups.

CLASSES & CLINICS – No report.

COMMUNITY & PUBLIC RELATIONS – Larry Sassa continues to work the water fountain situation in Jacksonville Beach. Regarding our tent at the post-race, Larry is confident that everything is set up and arranged and that we will have our best post-race ever.

FINANCE – Todd O’Donnell distributed a sheet titled JTC Running Donation Guidelines which the Focus Committee has been working on. There was not a vote up-or-down on the guidelines but the board agreed that the guidelines were reasonable and well thought out.
Bonnie Brooks told us of a Funding Request that we had received from Ribault High School for $500 for the Chandra Cheeseborough Invitational. Bonnie moved that we donate $500 which was seconded by Stuart Toomey. The motion passed.
Bonnie also told us that our newsletter designer had been paid and that we are up-to-date with The Bolles School.

MEMBERSHIP – Larry Roberts reported membership is at 1,209 active members.

MERCHANDISE – Stan Lambert will have the merchandise at the GRR expo on Wednesday and will be organizing it.

NEWSLETTER – The newsletter deadline for submission of articles is March 15th.

SOCIAL MEDIA – No report.

SOCIAL & BANQUET – We talked about the Annual Awards Banquet and decided that our “hoped for” date will be June 22nd which will be a Thursday. Our banquet is normally a couple of weeks after Run for the Pies, which will be on June 10th.

VISION & PLANNING – Doug Alred spoke briefly about Sunbeam Mountain. The people representing the wetlands have not been receptive to our trail being built.
Our Tomahawk Park picnic last Sunday did not work out so we will have to plan on gathering there to celebrate the park trail’s refurbishment another time.

NEXT MEETING – The April board meeting will be Tuesday, April 4, at 6:30 pm in the Mediterrania Restaurant.

The March meeting on Feb 27 was adjourned at 7:26 pm.
