JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, April 5, 2016

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:38 p.m.  Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Colleen Clarson, Errol Daniels, Angela Harris, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, Douglas Tillett, Stuart Toomey and Jim Van Cleave.  Directors Michael DelCharco, Richard Fannin, Susan Haag, and Stan Lambert were absent.

Approval of 3/1/16 minutes: On a motion by Lamar Strother, the March minutes were approved as submitted.

Treasurer’s Report:  Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report.  She then reviewed the reports with the board.

OLD BUSINESS:

 JTC Running Track Series – The first meet of the year is the Distance Carnival on April 16 at 5 pm on the Creekside High School track.  We need both tents there for the meet – Douglas Tillett agreed to attend the meet and take care of the tents.

Tomahawk Park Trail Project – Doug Alred said there will be a meeting in the mayor’s office and someone will contact the Recreation Department about this project.

Racing Team Steering Committee Meeting – Douglas Tillett reviewed the details of the discussion from the first Team Steering Committee meeting that was held on March 22, 2016.  There will be a second meeting of the committee on Tuesday, April 19 at 6:30 pm in Seven Bridges Grille.

NEW BUSINESS:

JTC Running May Board Meeting location and time – The room where we meet at Mediterrania is not available for us on the first Tuesday of May so we had to decide whether to meet at a different location or change the meeting to a different day.  The board decided to change the date of the May board meeting to Monday, May 2, at meet at our usual spot at Mediterrania at our usual time of 6:30.

Special Project – 5K Fun Run for Association of Asthma Educators (AAE) – President Larry Roberts received a request from the Association of Asthma Educators who are having their yearly meeting at the Hyatt in Jacksonville the weekend of August 6.  It is their custom to hold a private 5K for their attendees and they asked if we would please stage the race for them.  Larry told them we would do it.  Franz Lerch, Stuart Toomey, and Douglas Tillett volunteered to stage the race for the AAE.

National Running Day for Marathon High – We staged a special event in 2015 for National Running Day that benefitted Marathon High and they asked if we would do it again.  Last year, we charged attendees $10 to participate in the fun run, which was at 1st Place Sports – Baymeadows, then JTCR matched it so we donated $20 to Marathon High for each person who participated.  We also gave away food and beverages to the runners.  For 2016, National Running Day is Wednesday, June 1.  The board agreed to stage the event again this year.

Summer Running Camp Grants – Doug Alred said that information about our program was sent to coaches this year.  The deadline for applications to be returned to us is May 20.

COMMITTEE REPORTS:

Gate River Run (3/12/16) – The board discussed this year’s race with many members making comments.  We noted that our movie had a lot more people than we did last year.  It was noted that we did better in our booth at the expo than in 2015.  Our tent on the lawn at the post-race party went very well with lots of club members stopping by.  The Awards Ceremony went even better than last year.  Race Director Doug Alred thought the expo was very good and that TV-4’s coverage of the race was very good.  He also gave a “thumbs up” for the finish line at the north end of the stadium compared to having it at the south end of the stadium.  Medical also went well even though they were busy because of the warm weather for the race.

It was noted that our mayor runs.  He and his family ran the race and got good “press” because of it.  There is a city project underway to establish a permanent starting line structure for the Gate River Run although details are still being decided.

Winter Beach Run – (Sat, 1/23/16) – Race Director Doug Alred distributed copies of the financial results.  The race made a profit of more than $8,700 this year.

RACE COMMITTEE and TRACK MEET COMMITTEE – No report.

JTC Running RACE TEAM – Race Team was covered in “old business” – the steering committee will have a second meeting in April.

CLASSES & CLINICS – No report.

COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa, who has been working with Colleen Clarson to further our water fountain project in Jacksonville Beach, told the board that the two of them plan to intensify their efforts with the City of Jacksonville Beach and the Recreation Department in order to proceed further with the project.

FINANCE – Treasurer Bonnie Brooks called for a meeting of the Finance Committee to be held on Monday, May 2, at 6 pm, which will be before the general board meeting.

 MEMBERSHIP – Reported membership is at 1,195 active members.

MERCHANDISE – Director Connie Smith reminded us that we have JTCR shorts available this year.

NEWSLETTER – The newsletter is in the mail.  It was also distributed to our members via email blast already.  It can also be viewed from our webpage.

SOCIAL MEDIA – Stan Lambert was away, at The Masters, but was keeping up with our social media posts regardless.

SOCIAL & BANQUET – Jane Alred called for a meeting of the Awards Banquet Committee for Tuesday, April 26, at 6:30 at V Pizza.  The banquet will be on Thursday, June 23.

VISION & PLANNING –  No report.

NEXT MEETING – The next board meeting will not be held on our traditional day of the first Tuesday of the month but will instead be on Monday, May 2.  It will be in our usual location inside the Mediterrania Restaurant at 6:30.

The April meeting was adjourned at 8:08 pm.
