JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, December 1, 2015
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:35 p.m. Directors present for the meeting were Doug Alred, Bonnie Brooks, Colleen Clarson, Errol Daniels, Richard Fannin, Stan Lambert, Franz Lerch, Todd O’Donnell, Ty Payne, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, Stuart Toomey, and Jim Van Cleave. Directors Jane Alred, Michael DelCharco, Susan Haag, Angela Harris, and Doug Tillett were absent.

Approval of 11/3/15 minutes: On a motion by Lamar Strother, seconded by Todd O’Donnell, the November minutes were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Profit & Loss Detail and the Balance Sheet. She thoroughly reviewed the reports with the board, answering all questions.

OLD BUSINESS:

Election of the 2016 Board of Directors – President Roberts stated that the Board had just recently returned to full strength with the addition of three new Directors and he saw no need to go through a Board nomination, qualification, and election process this year provided no Director objected. There were no objections.

JTC Running App for Mobile Devices – Larry Roberts reported that Mac Kelly has been working on enhancing the mobile version of JTCRunning.com and the project should be completed shortly.

NEW BUSINESS:

Larry Roberts announced that an event for staffing the Club tent at the Jacksonville Bank Marathon is open for registration with shifts from 7:30 to 10:00 AM and from 10:00 to 12:30 PM. Several Board members volunteered for shifts.

Richard Fannin proposed that the Club sponsor screening a running film again next year during Gate River Run Week. After discussion of this year’s screening cost and turnout and possible new venues for next year Richard said he would bring a specific proposal to the January Board meeting.

Richard also gave an update on elite runners using the Jax Marathon for Olympic qualifying and asked for volunteers for transportation and lodging to contact him.
COMMITTEE REPORTS:

Gate River Run – Doug Alred advised that 2500 had registered so far and all sponsors are in place. He also said that the proposed stadium improvements appeared to be moving forward so it is likely an alternate finish area will be needed for the race as mentioned last month.

Guana Trail Races – Registration is nearing the 200 limit and will close at midnight Dec. 2.

Last Gasp – Larry Roberts said 71 entries have been received so far and that all arrangements are complete.

John TenBroeck Memorial Winter Beach Run – Race Director Doug Alred said the medals are in and that the City of Jacksonville Beach has contacted him with the welcome news of their interest in promoting the event.

RACE COMMITTEE and TRACK MEET COMMITTEE – No report.
JTC Running RACE TEAM – The ad-hoc committee of Richard Fannin, Connie Smith, Susan Haag, Colleen Clarson, Douglas Tillett, Larry Sassa, and Ty Payne has not met. President Roberts asked VP Sassa to ensure progress for the next meeting. Richard Fannin stated that the USATF Cross Country Championships will be held in Tallahassee December 10, 2016 and that our Race Team should compete.

CLASSES & CLINICS – Roberts reported that six have already registered for the GRR class starting on Jan 7, 2016 and that registration is open for the 2016 Bolles Wednesday Track Workouts.

COMMUNITY & PUBLIC RELATIONS – Roberts said the Sulzbacher “dinner” on Nov 14 was fully attended and a great event.
Larry Sassa and Colleen Clarson reported progress with Jimmy Wilkins, Director of Special Events for Jax Beach on the Club initiative to install drinking water fountains at the beach. The goal is for two with plaques identifying the Club’s contribution.

FINANCE – Treasurer Bonnie Brooks presented the 2016 budget which was approved by the Board on a motion made by Bonnie and seconded by Todd O’Donnell.

MEMBERSHIP – Director Stuart Toomey noted that we have 1,021 members at this time.

MERCHANDISE – Director Connie Smith said we will have merchandise available at the December San Marco social. It was decided to deliver the merchandise, backdrop, and tablecloths early to avoid parking and access issues.

NEWSLETTER – Roberts said the newsletter is at the printer today.

SOCIAL MEDIA – Connie Smith will get an email blast out Dec. 3 covering the Social, Last Gasp, Winter Beach Run, and pdf of the newsletter.

SOCIAL & BANQUET – Larry Roberts forgot to bring the nametags to the Board meeting but promised to have them at the Social.

VISION & PLANNING – Doug Alred said he was in discussions with Brian Burket in the Jacksonville City Department of Recreation about the Club funding the construction of a trail in Tomahawk Park. The Board discussed the importance of working with the city and the limited liability of funding a trail to be given to the city verses the lack of progress and ongoing liability of the potential Sunbeam project. A motion to authorize up to $20,000 for the Tomahawk Trail Project was make by Doug Alred and seconded by Ty Payne. The motion passed.

NEXT MEETING – The next board meeting will be on Tuesday, January 5, at 6:30 in the Mediterrania Restaurant.

The December meeting was adjourned at 7:48 pm.
