JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, May 5th, 2015
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:41 p.m. Directors present for the meeting were Doug Alred, Jane Alred, Bonnie Brooks, Stan Lambert, Todd O’Donnell, Larry Roberts, Larry Sassa, Connie Smith, Lamar Strother, and Douglas Tillett. Directors Colleen Clarson, Errol Daniels, Michael DelCharco, Richard Fannin, Franz Lerch, Stuart Toomey and Jim Van Cleave were absent. JTCR member Susan Haag attended as a guest.

Approval of 4/7/15 minutes: On a motion by Lamar Strother, seconded by Todd O’Donnell, the April minutes were approved as submitted.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report for the month. She thoroughly reviewed both reports with the board. Bonnie told us that it might be possible that we will file our taxes by May 15th. Normally, our accountants file our forms after that date.

OLD BUSINESS:

Distance Carnival – Our first track meet of the season was on 4/25/15 and it was the Distance Carnival. We got lucky as one round of storms passed through, then we had the meet in just enough time before the next round of storms passed. Our next meet is Saturday, May 9, at 4 pm.

Bolles Track Workouts in June – The Bolles track will not be available for our morning or afternoon workouts during June because they are resurfacing the field. The workout groups have not decided yet what they will do regarding moving to a different location or still meeting at Bolles and running the streets instead.

Baseball Social – Our baseball social will be on Saturday, July 25th. We have twenty five reservations so far, at the special discount of $5 off for the first 40 signups.

JTC Running Awards Banquet – The JTCR Awards Banquet will be on Thursday, June 25th, at Maggiano’s Little Italy. Club members can make reservations on our website for $15. Nonmembers can reserve for $20. Tickets at the door, if any are available, will be $30.

Water Fountain Project / Sunbeam Project – Doug Alred reported that the Sunbeam Road project is no longer available as the owner has paid the taxes. We will begin concentrating on the proposal to install water fountains on certain running trails and popular running routes.

RRCA Convention – Stan Lambert and Doug Tillett, who attended this year’s convention as our club’s representatives from April 23 through April 26 in Des Moines, reported on the classes offered and the results of the RRCA election. Our Southern Region Director, who has been Lena Hollmann for the past several years, has resigned from the position as she is moving to a different city. Ron Macksoud of Alabama was elected as our new RRCA Southern Region Director.

Summer Running Camp Grants – Doug Alred reported that the information and applications have been sent out to all the coaches. Our deadline for submission of applications is May 15th.

NEW BUSINESS:

National Running Day – Marathon High has asked running groups to support their program by organizing runs and other events on National Running Day, Wednesday, June 3rd, collect donations, and send the donations to Marathon High. Larry Roberts proposed that we organize a fun run for 6:30 on 6/3 at 1st Place Sports, Baymeadows. The cost would be $10 and members can RSVP and pay on our website. JTCR will match the $10 donation to Marathon High. Additionally, we will make a special offer to participants to extend their JTCR membership (or join JTCR) for one year for an additional $9.95. Doug Tillett made the motion, seconded by Connie Smith, and in addition to the points above, the motion calls for an allocation of $500 to purchase food, beer, and beverages for the fun run after-party. The motion passed.

COMMITTEE REPORTS:

Gate River Run (3/14/15) – Race Director Doug Alred said the final financial report isn’t finished yet as some sponsors have not completed their obligation. He expects that the report should be ready for the next meeting. The dates for the next two Gate River Runs will be 3/12/16 and 3/11/17.

Tijuana Flats Summer Beach Run – (Sat, 8/22/15) – The board discussed having another SBR “kick off event” at Tijuana Flats a couple of weeks before the race, like we did last year. Monday, August 10, was the preferred date.

RACE COMMITTEE and TRACK MEET COMMITTEE – No report.

JTC Running RACE TEAM – Bonnie Brooks and Jane Alred confirmed that we are up to date on paying for the events our team members have run.

CLASSES & CLINICS – Todd Williams will be conducting a Run Safer Clinic on May 18th at The Bolles School.

COMMUNITY & PUBLIC RELATIONS – Larry Sassa (Committee Chair) thinks we should work to make running tracks available to club members, as well as the running population in general, to use for training purposes. Every high school has a track, as well as many middle schools, but all of them are fenced off so runners cannot use them. Larry is hopeful we can get some track facilities open to runners, at least during certain times of certain days.

FINANCE – Committee Chair Bonnie Brooks said that the committee did not have any proposals to introduce to the board tonight.

MEMBERSHIP – Larry Roberts noted our headcount at 965 active members. Larry also told us that our number of “contacts” has gone over 2,000 so that puts us in a more expensive price bracket with Wild Apricot and in addition to that, they are raising their price in general. We can keep the lower price and avoid the price increase for this cycle if we pay for a year in advance, so we plan to do that.

MERCHANDISE – Connie Smith plans to bring JTCR merchandise to the National Running Day event and to our Tijuana Flats Kickoff event.

NEWSLETTER – The board discussed our magazine in general, noting that one author writes most of the material in each issue. The board would like the Newsletter Committee to concentrate on publishing a greater variety of writers. Larry Sassa said that he submitted an article written by Jodi Fizer back in January that he thought was a very good article and worthy of publication.

SOCIAL MEDIA – No report.

SOCIAL & BANQUET – The banquet committee will be meeting soon, before the next board meeting.

VISION & PLANNING – No additional report other than what we discussed in Old Business.

NEXT MEETING – The next board meeting might be Tuesday, July 7, at 6:30 in the Mediterrania Restaurant. Many years, the board does not meet in July. If action is taken during the June meeting to skip holding a meeting in July, then the next meeting will be Tuesday, August 4.

The April meeting was adjourned at 7:37 pm.
