JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, August 5th, 2014
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:43 p.m. Directors Michael DelCharco and Bob Fernee were absent.

Approval of 6/3/14 minutes: Lamar Strother made a motion, seconded by Bonnie Brooks, that we accept the minutes as submitted. The motion passed. It should be noted that the board did not meet in July.

Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet dated Aug 3, 2014 and the Profit & Loss Detail Reports for the past two months with one report for June and another for July. She thoroughly reviewed both reports with the board. She also distributed a special Budget vs Actuals report for the first half of 2014.
Bonnie reported that we received our completed tax forms from our accountants. She also reported that for the Awards Banquet, where we used our Wild Apricot membership program for keeping the attendee list and tracking the payments, worked great and was a big improvement.

OLD BUSINESS:

Track Series – Larry Roberts reported that the third meet, held on 6/7/14, had a really big turnout with lots of athletes and plenty of spectators. The last meet, on 7/12/14, was cut short because of lightning in the area of The Bolles School.

Awards Banquet – The banquet was inside Maggiano’s on Thursday, June 26th. We received no negative comments – everybody thought it was great. No photos are available yet because Jane’s computer is so full of pictures that extracting any is difficult. Mackenzie Wilson sent a nice note thanking us for the award we presented her as Female High School Track Runner of the Year.

NEW BUSINESS:

Half Marathon Training Class – Our coach, John Metzgar, will start this year’s Half Marathon Training Class on Tuesday, Sept 9, 2014, at the 1st Place Sports store in Town Center. We will be using a “new” system for registration, through our Wild Apricot membership program rather than through the 1st Place Sports mechanism.

COMMITTEE REPORTS:`

Gate River Run (3/14/15) – Race Director Doug Alred affirmed that staging the Gate River Run is a year-round effort. At this time, we are seeking sponsors, although many of our sponsors from 2014 will be back in 2015.

TenBroeck Cup Team Competition – Director Richard Fannin noted that even though we are at the midpoint of the year between competitions, he keeps communication going with the elites. He will host “bar night” at Twin Cities, the first weekend of October.

Tijuana Flats Summer Beach Run – Race Director Doug Alred thinks our numbers will be way up. We are having a “SBR Week Kickoff Party” at Tijuana Flats Lakewood on Monday, Aug 11th and we should take our tent. The awards this year will be special TF SBR beach towels.

Back-To-Nature Trail Races (12/7/14) – Larry Roberts said that we already have some runners signed up for our trail ultra, team competition, and 12K.

Last Gasp (Sat, Dec 27) – Doug Alred told us that the TaxSlayer Bowl (formerly the Gator Bowl) is changing their date to Jan 2, 2015 and that the Gator Bowl 5K might change to New Year’s Day, in which case Dec 31st could end up being available for the Last Gasp. We shall see how things develop at the end/beginning of the year.

RACE COMMITTEE and TRACK MEET COMMITTEE – no report.

JTC Running RACE TEAM – It was reported that team member Stephanie Griffith is interested in assuming the duties of team coordinator.
It was also reported that the USATF National Club Cross Country Championship would be held on Dec 13th in Bethlehem, Pennsylvania.

CLASSES & CLINICS – Jane Alred has been considering convening another Ultra Panel, as it was very successful when we last held one. Another idea is a Central Park Panel.

FINANCE – Committee Chair Bonnie Brooks chaired a Finance Committee meeting this evening before the board meeting. We received a support request for $500 from Fletcher High School, which will be hosting the Gateway Conference Cross Country Championship on Oct 15, 2014. Bonnie Brooks made a motion, seconded by Doug Tillett, that we grant their $500 request. The motion passed.
Secondly, Eli Sunquist of the Jacksonville Athletic Club, who assisted us by handling the field events at our Summer Track Meets, will be holding an “end of summer” meet at The Bolles School this weekend on Aug 9th. They requested support to pay for the digital timing. Bonnie Brooks made a motion, seconded by Todd O’Donnell, that we provide $350 toward the cost of the timing service, but only if they actually hire the company that does the timing. The motion passed.

MEMBERSHIP – Larry Roberts noted that he has been handling the Membership Coordinator job since Nicole Andress resigned from the board but he believes it is time to recruit a new volunteer for this duty. Larry reported that we have 884 active memberships, comprising 714 membership “units.”

MERCHANDISE – Connie Smith plans to be at the TF SBR with JTCR short sleeve shirts and other merchandise, for sale, and to encourage attendees to join our club.

NEWSLETTER – Director Bob Fernee was on vacation and unable to attend the meeting. The board discussed an article that the newsletter committee decided not to run in the last edition of The Starting Line.

SOCIAL MEDIA – Connie Smith will now be doing the email blasts for JTC Running.

SOCIAL & BANQUET – Our next social opportunity will be the annual JTC Running Christmas Social in the 1st Place Sports San Marco store on December 13th.

COMMUNITY & PUBLIC RELATIONS – Larry Sassa recognized Michael DelCharco for his good work, organizing our team that cooked and served a dinner at the Sulzbacher Center for the Homeless on July 26th. Our team also had running shoes that had been donated which were distributed to some of the clients of Sulzbacher.

VISION & PLANNING – Doug Alred told us that the last time he visited Skinner Park, where we paid for a foot bridge to be built over a stream; he noticed there was high grass and that the bridge needed some dirt around both sides to facilitate getting onto the structure. Doug took this as an action item, to get with the city and have the situation rectified.
Richard Fannin provided a document to the board that he created, titled Gate River Run Zero Tolerance Drug Policy. It was written similarly to a drug policy that had been put in place by Grandma’s Marathon. The topic will be addressed by the Race Committee at a future meeting.

NEXT MEETING – The next board meeting will be Tuesday, September 2nd at 6:30 in the Mediterrania Restaurant.

The August meeting was adjourned at 7:58 pm.
