JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, May 6th, 2014
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL
President Larry Roberts called the meeting to order at 6:40 p.m. Directors Doug Alred, Colleen Clarson, Richard Fannin, Bob Fernee, David Moritz, Larry Sassa, Stuart Toomey, and Jim Van Cleave were absent.
Approval of 4/1/14 minutes: Lamar Strother made a motion that we accept the minutes as submitted. The motion passed.
Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report. She thoroughly reviewed both reports with the board and answered all our questions. Bonnie also told us that our tax filing has been extended from May 15th to August 15th. When asked when our next payment to Bolles is due, she told us it is due in June.
OLD BUSINESS:
Track Series – Larry Roberts reported that we had 96 athletes compete at the first meet, the Distance Carnival, held on Saturday, April 19th. The second meet will be this Saturday and we have 273 registered on our site.
Summer Running Camp Grants – Jane Alred reported that we have received ten or so applications so far but the due date was set at May 16th. We expect more applications to arrive by the due date.
Racing Team Coordinator – The Executive Committee will make a recommendation for our next Racing Team Coordinator.
Awards Banquet – Jane Alred has reserved the main room in Maggiano’s for Thursday, June 26th. Larry Roberts had some ideas on how we should get attendees to make their reservations and pay for the banquet using the JTCR website. We set a goal of deciding who the winners are by the next board meeting on June 3rd. The first meeting of the Awards Banquet Committee will be on Monday, May 12th at 6:30 in High Tide Burrito on Hendricks Avenue.
NEW BUSINESS:
Resignation of Board Member – Larry Roberts told the board that Nicole Andress has resigned her position on the board. She has accepting a new job in a different city.
USATF Florida Association to hose 2015 Championships – Larry Roberts noted that the USATF Florida Association will host the 2015 Junior Olympic Outdoor Track & Field Championships in the summer next year. We have a friendship with Angela Harris, who is the Event Director for the Championships, by way of our support for qualifying meets that she has hosted in the past and through Epitome of Excellence.
COMMITTEE REPORTS:
Gate River Run (3/15/14) – Race Director Doug Alred was absent. No report.
TenBroeck Cup Team Competition – Director Richard Fannin was absent. No report.
Tijuana Flats Summer Beach Run – This year will be the 50th running of the race. We have formed an ad hoc committee to work on enhancing the race and increasing the number of runners competing. Todd O’Donnell, Erika Bjork, and Doug Tillett are on the ad hoc committee. This race will be on Saturday, Aug 16th.
RACE COMMITTEE and TRACK MEET COMMITTEE – no report.
JTC Running RACE TEAM – There are three more races that the team members have on their schedule for this season: Memorial Day 5K, Never Quit, and Run for the Pies.
CLASSES & CLINICS – There are no plans in place at this time, although Jane Alred reminded us of the RunSafer clinic scheduled for May 28th in 1st Place Sports – Town Center.
COMMUNITY & PUBLIC RELATIONS – No report.
FINANCE – Committee Chair Bonnie Brooks does not have a meeting planned but will schedule one before the next board meeting. She will be out of town next week but is available by email.
MEMBERSHIP – It was reported that we have 896 active memberships as of today.
MERCHANDISE – No report.
NEWSLETTER – No report but the deadline for the next issue of The Starting Line is May 13th.
SOCIAL MEDIA – Director Stan Lambert has scheduled a meeting of the committee for Tuesday, May 13th. Stan told us that Pinterest has become a big social media gateway for race entries.
SOCIAL & BANQUET – Our upcoming Awards Banquet was discussed earlier in the meeting.
VISION & PLANNING – No report.
NEXT MEETING – The next board meeting will be Tuesday, June 3rd at 6:30 in the Mediterrania Restaurant.
The May meeting was adjourned at 7:32 pm.
