JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, March 4th, 2014
Location: 1st Place Sports San Marco; 2018 San Marco Blvd; Jacksonville, FL 32207
President Larry Roberts called the meeting to order at 6:46 p.m. Director Todd O’Donnell was absent. For this one meeting only, the location was changed from our usual spot to 1st Place Sports because famed author, coach, and artist Hal Higdon was in the store for a book signing and meet-and-greet. It was decided that this meeting would concentrate mostly on Gate River Run planning since our big race was only a little more than a week away.
Approval of 2/4/14 minutes: On a motion by Lamar Strother that was seconded by Franz Lerch, the February minutes were approved as submitted.
Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report. She thoroughly reviewed both reports with the board and answered all our questions. She noted that it had been a big month for membership additions and renewals.
OLD BUSINESS:
JTCR Tent & Booth at the Gate River Run – Lamar Strother has gotten our booth full of volunteers. All of the volunteers will get a reminder beforehand and a thank you note afterward.
Our new backdrop is now available – Connie Smith will bring all of booth stuff from storage to The Fairgrounds for setup on Wednesday afternoon. We will be distributing green wristbands that allow entrance into our hospitality tent on the GRR lawn to our members from our booth in the expo.
For our hospitality tent, the gatekeepers will need a printed list of the club roster. Our tent will feature five portable toilets, baggage check, Firehouse subs, water, soda, beer, cookies, and shade. Race Director Doug Alred told us that the finish line, which was moved this year because of construction of new scoreboards at EverBank Field, is further away from the post-race than it has been. We discussed how we could get parking lot passes for our vendors and delivery people.
The Award Ceremony is scheduled for 10:30 and Douglas Tillett will try to coordinate the awards with the winning athletes, the award presenter, and Mr Peyton of Gate Petroleum. To get the printout of the award winners from the finish line to the stage, Michael DelCharco has volunteered to run them over.
We will have at least two featured speakers. Dick Beardsley will be at the 1st Place Sports San Marco location on Wednesday, March 12th at 6. Shalane Flanigan will be at the Expo on Friday during the lunch hour at the JTC Running booth.
The TenBroeck Cup competition has been arranged by Richard Fannin and the field is outstanding. Best ever, all agree. The same team of JTCR volunteers from last year will drive athletes from the airport to the Hyatt and back this year. One of the activities where our elite athletes have appeared for the last several years is at the Sanctuary on 8th Street. It will be on Friday afternoon at 4 pm.
Summer Track Series – Larry Roberts, Doug Alred, and Coach Eric Frank have talked with Eli Sunquist about the Heptathlon and Pentathlon that will be staged at the same time as our June track meet. Registration for the “Hep” and “Pent” will take place on site. All plans are nearly cemented and ready for publication as soon as we receive confirmation on meet timing by our vendor.
NEW BUSINESS:
Gate River Run – Race Director Doug Alred told us that the course has just been remeasured for accuracy. The new finish line is at Gate 4 of EverBank Field but the runners will be funneled through the Tailgate Zone and over to Gate 1 before being released into the parking lot, but by that point, The Fairgrounds are in sight so we’re hopeful that most of the runners will head to the post-race celebration. The start will feature four starting zones. There is a really good “post-race” planned – look for lots of tents on the lawn. We will have the big stage again, set up at the same location. Our 15K main event has 15,000 runners registered. The volunteer situation is great. Our costs continue to rise but so has the number of people entering our race.
COMMITTEE REPORTS:
MEMBERSHIP – Larry Roberts noted that we have 860 active “units” with 69 new in the last 30 days.
MERCHANDISE – Director Connie Smith has our new, blue, cotton long sleeve tee shirt for sale in the Expo at our booth. We will also have last year’s shirts discounted for this year. Additionally, we have mugs, hats, and visors – plus we are eager to sign up new JTCR members.
NEWSLETTER – Bob Fernee said the deadline for the next newsletter is March 20th.
NEXT MEETING – The next board meeting will be Tuesday, April 1st at 6:30 inside the Mediterrania Restaurant on Baymeadows Road.
The March meeting was adjourned at 7:57 pm.
