JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, April 1st, 2014
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL
President Larry Roberts called the meeting to order at 6:36 p.m. Directors David Moritz and Larry Sassa were absent.
Approval of 3/4/14 minutes: Lamar Strother made a motion, seconded by Todd O’Donnell, that we accept the minutes as submitted. The motion passed.
Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report. She thoroughly reviewed both reports with the board and answered all our questions.
OLD BUSINESS:
Track Series – Larry Roberts said we have 53 athletes who have signed up for the track series so far. Our first meet, the Distance Carnival, will be held on Saturday, April 19th. Signing up is free if you sign up from our website in advance of the meet. We would still like more publicity for this meet and the three to follow.
Special Appearances by Renown Runners at GRR – Some concern has been expressed over what we received in actual appearances compared to what we paid and had hoped for.
Gate River Run Booth & Hospitality Tent – Larry Roberts noted that the people who volunteered really got into it. The tent was great with just the right elements for our members and guests.
NEW BUSINESS:
Summer Running Camp Grants – Doug Alred told us that the applications were sent out to the coaches this week. They are due back to him by mid-May. We also heard that Todd Williams will do a Run Safer clinic on May 28th that we would like advertised to the high schoolers.
COMMITTEE REPORTS:
Gate River Run (3/15/14) – Race Director Doug Alred reported that it was a great day again this year with everything working very well. The new finish line area worked great and was very roomy compared to the old finish area. The wave starts also worked excellently. The bands were good, as before, with two more added this year. We had lots of new runners. We are trying to keep the race affordable by providing early sign-up. The course was verified and certified this year. We were even overstaffed with volunteers. Next year’s race will be on March 14, 2015.
TenBroeck Cup Team Competition – Director Richard Fannin said we try to keep our name “out there” and because we do, our team competition and the caliber of athletes was fantastic. He believes we are “hitting on all cyclinders” for the very best American runners.
Tijuana Flats Summer Beach Run – This year will be the 50th running of the race. We are forming an ad-hoc committee to think of special things we can do to make it better than ever for this running. This race will be on Saturday, Aug 16th.
RACE COMMITTEE and TRACK MEET COMMITTEE – no report.
JTC Running RACE TEAM – Larry Roberts told us that Team Coordinator Dave Moritz is getting married this weekend and that he needs to relinquish the team to the next coordinator, whoever that might be. Dave sent out a message to all the team members, asking who might like to do it. We received back three positive responses, from Skye Johnson, Sung Ho Choi, and Nancy Pullo. The executive committee will be considering these three candidates.
CLASSES & CLINICS – no report.
COMMUNITY & PUBLIC RELATIONS – Michael DelCharco has taken on the job of arranging for our twice-yearly meal we prepare for the clients of the Sulzbacher Center For The Homeless. He said that Easter is already fully subscribed. Our dates have been set for July 26th (Saturday) and December 14th (Sunday.)
FINANCE – Committee Chair Bonnie Brooks told us that our taxes are due for filing by May 15th. She also told us that Carolyn McClanahan recently reviewed our investments and found we are properly balanced.
Bonnie then reported on the Finance Committee meeting that was held just before this main meeting. The Finance Committee considered a request from Epitome of Excellence for $5,000 to help with the qualifying meet they will be staging later this year. The committee recommended that the board approve a $2,500 donation. Bonnie made a motion, seconded by Nicole Andress, that we support Epitome’s meet with $2,500. The motion passed.
MEMBERSHIP – It was reported that we have 910 active memberships with 86 added in the last 30 days.
MERCHANDISE – Director Connie Smith was complimented by the president for doing a great job with our shirt sales at this year’s Donna & GRR expos.
NEWSLETTER – Bob Fernee said the newsletter would be going to the printer tomorrow.
SOCIAL MEDIA – Director Stan Lambert noted that our Facebook page looks good and that Larry Roberts has been keeping our website updated.
SOCIAL & BANQUET – Director Jane Alred said that possible dates for our Awards Banquet could be June 19th or June 26th. The attitude of the board is that we go back to Maggiano’s Little Italy again this year. Jane will be working to secure an appropriate date with Maggiano’s for our Awards Ceremony.
VISION & PLANNING – Doug Alred said that there is nothing new to report on the Sunbeam Road landfill being repurposed into a running park. Then he said that John Peyton from Gate Petro had called him to inquire about extending their title sponsor agreement on the Gate River Run with us.
NEXT MEETING – The next board meeting will be Tuesday, May 6th at 6:30 in the Mediterrania Restaurant.
The April meeting was adjourned at 7:52 pm.
