JTC Running BOARD OF DIRECTORS MEETING MINUTES

Tuesday, February 4th, 2014

Location:  Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL

President Larry Roberts called the meeting to order at 6:40 p.m.  Directors Michael DelCharco, David Moritz, and Larry Sassa were absent.     

Approval of 1/8/14 minutes: We noticed that the original version of the minutes said all of the Summer Track Meet dates were on Friday but in reality, all our track meets this year will be on Saturday.  Lamar Strother made a motion, seconded by Todd O’Donnell, that we accept the minutes as corrected.  The motion passed. 

Treasurer’s Report:  Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report.  She thoroughly reviewed both reports with the board and answered all our questions.  Bonnie told us that she was going back to work soon but that we can reach her if some emergency arises that requires her attention.

OLD BUSINESS:

JTCR Tent & Booth – Committee Responsibility – After a brief discussion, the Community & Public Relations Committee accepted responsibility for the club tent, scheduling it and getting it to where it is scheduled to be.

Committee Adjustment – Larry Roberts told the board that he has been studying our committee list and those on the committees.  He made a recommendation that we move the responsibility for our webpage under the Social Media Committee and away from the Newsletter Committee.  Jane Alred made the motion, seconded by Bonnie Brooks, that we follow Larry’s recommendation.  The motion passed.

Summer Track Series – Larry Roberts updated the board on our progress staging the 2014 Summer Track Series.  Coach Eric Frank has agreed to be in charge of the meets again this year.  The four dates have been agreed to by Coach Frank, Larry Roberts, and The Bolles School.  Each meet is on a Saturday and the dates are April 19, May 10, June 7, and July 12.  We had been contacted by Coach Eli Sunquist of the Jacksonville Athletic Club for support in staging a Heptathlon and Decathlon and have convinced him instead to stage these events at one of our meets, the one in June, which will be expanded to a second day to accommodate that competition.

NEW BUSINESS:

Gate River Run Expo – JTCR Booth – Larry Roberts said that people can now volunteer to work in the JTCR booth at the GRR expo by signing up on our webpage.  He said a volunteer can go to www.jtcrunning.com, look under “events”, then GRR booth.  Our volunteer point for the JTCR tent on the green is just below that.   

USATF Florida Association 15K Championship – Douglas Tillett noted that the GRR was last year’s USATF Florida Association 15K Championship for Open Men, Open Women, and Masters Men and Women.  He made a motion that we send USATF Florida a check for $360 to secure the right to be the 2014 Championship as well.  The motion passed.

Board Meeting for March 4, 2014 – Douglas Tillett noted that in many years, we did not hold a meeting in March because of how busy we were getting ready for the Gate River Run, but this year our big race is nearly two weeks after the scheduled board meeting.  Jane Alred suggested that we move the March 4th meeting from Mediterrania to 1st Place Sports San Marco because Hal Higdon would be there having a book signing.  The board agreed with her suggestion.

COMMITTEE REPORTS:

Gate River Run (3/15/14) – Race Director Doug Alred reported that 11,000 entries had already been received by January 31st.  There are 1,100 kids in the training classes in the schools.  The new finish line has been established on the stadium’s south lawn, moved because of new scoreboard construction.  He believes it will work well but we will not have bleachers available.  The expo is sold out.  The lawn will be packed on Saturday.      

TenBroeck Cup Team Competition – Director Richard Fannin said we have thirteen teams and clubs coming from all over the country.  They are all exceptional.  He believes we will have an outstanding team competition that will be the envy of all the other big races.   

The John TenBroeck Memorial Winter Beach Run – (Sat, 1/18/14) – Race Director Doug Alred said the number of racers is not what we need but since the 2015 race will be the 40th year, he has decided to keep things the same.  The date of the WBR next year is 1/17/15.  On the positive side, we had lots of kids from the Marathon High program run our race and even though they raced for free, it was good to see them out there.        

 RACE COMMITTEE and TRACK MEET COMMITTEE – a committee meeting was held on Monday, January 13th where planning for the 2014 Summer Track Series and the WBR occurred.         

JTC Running RACE TEAM – No report.

CLASSES & CLINICS – Jane Alred noted that Dick Beardsley will be speaking at a JTCR event on the Wednesday before GRR (March 12th).  There are also plans to have Shalane Flanagan at the expo at a “meet and greet” event.      

COMMUNITY & PUBLIC RELATIONS – The committee is focused on the GRR Hospitality Tent. 

FINANCE – Committee Chair Bonnie Brooks said there had been a committee meeting during the previous month to discuss requests we had received for support. 

The Shannon Miller Foundation requested support for their Women’s 5K.  The committee recommends a $500 donation.  Bonnie made a motion, seconded by Jane Alred, that we donate $500 to them.  The motion passed.

Mark Ryan, who was the race director for our Guana Ultra, had requested that we make a donation of $1000 to the Friends of Guana in recognition of their outstanding support of our event.  The committee recommends making that donation.  Bonnie made the motion, seconded by Douglas Tillett, that we donate a thousand dollars to Friends of Guana.  The motion passed.

The committee received a request from the Breast Cancer Marathon that we sponsor a banner that featured John TenBroeck at a cost of $3,000.  The committee recommended not to do so.  Nevertheless, committee member Douglas Tillett hoped that JTCR could support “The Donna” anyway so he made a motion, seconded by Franz Lerch, that we donate $1,500 to the Breast Cancer Marathon.  Following discussion, the motion failed with only one vote in favor of it.  We decided we might be able to support the event by entering a JTCR team composed of members who are not already running the Breast Cancer Marathon.

MEMBERSHIP – It was noted that 757 households were current members.  Larry Roberts, who has been studying our website and our Wild Apricot Membership Program, sees we still have 428 lapsed members on the list.  We plan to pursue lapsed members and bring them back to JTCR.     

MERCHANDISE – Director Connie Smith has 150 of our new, blue, cotton long sleeve tee shirt for slae in our Donna and GRR booths.           

NEWSLETTER – Bob Fernee said the newsletter was in the post office and should be delivered to all our members very soon.  Our next deadline is March 17th, two days after the GRR. 

SOCIAL MEDIA – No report

SOCIAL & BANQUET – Jane said the Awards Banquet will be in June.   

VISION & PLANNING – Doug Alred said the running park was on hold at this time. 

Wolfson Children’s Challenge JTCR Team – Our president noted that Stan Lambert and Erika Bjork did great work coordinating our two teams and thanked them for their effort.      

NEXT MEETING – The next board meeting will be Tuesday, March 4th at 6:30 in the 1st Place Sports San Marco store.         

The February meeting was adjourned at 8:04 pm.
