JTC Running BOARD OF DIRECTORS MEETING MINUTES
Tuesday, December 3rd, 2013
Location: Mediterrania Restaurant; 3877 Baymeadows Road; Jacksonville, FL
President Larry Roberts called the meeting to order at 6:40 p.m. Directors Jane Alred, Franz Lerch, and Dave Moritz were absent. JTCR members Connie Smith, Michael DelCharco, and Erika Bjork (all of whom will become board members in January) also attended the meeting.
Approval of 11/5/13 minutes: On a motion by Lamar Strother and seconded by Stuart Toomey, the November minutes were approved as submitted.
Treasurer’s Report: Treasurer Bonnie Brooks distributed copies of the Balance Sheet and the Profit & Loss Detail Report. She thoroughly reviewed both reports with the board. The Budget vs Actuals report wasn’t available but Bonnie said the bottom line was positive.
OLD BUSINESS:
Outreach To Lapsed Members – Membership Coordinator Nicole Andress said that we received about 25 checks from lapsed members for renewal after the letters were mailed.
Sulzbacher Dinner – Director Margaret Barton said the dinner we prepared and served on Friday, Nov 29th, was very successful. It was spaghetti – very popular with the clients at Sulzbacher. Noting that Margaret is leaving the board and that this will be her last meeting, our president thanked her for her support of our club, for her leadership on this effort and on her work as our liaison with The Bolles School for our track workouts.
2014 Board of Directors – As three board members have opted to relinquish their seats for the next term (Margaret Barton, Carol Fitzsimmons, and Mac Kelly,) there are three new board members who will begin their two-year terms in January. All three of them were present at tonight’s meeting. They are Erika Bjork, Michael DelCharco, and Connie Smith.
Cloud Storage of Club Documentation – President Larry Roberts said that the more he investigates “the cloud,” the more he thinks we should do it. He will continue to look into cloud storage for the club.
NEW BUSINESS:
Change of January board meeting date – The folks at Mediterrania, where we meet, said they have a very big party to host the night of January 7th, which would be our normal meeting night. They asked us if we could please meet on a different day. We decided to move our January board meeting date to Wednesday, January 8th at 6:30.
Jacksonville Suns Baseball – Lamar Strother, whose house hosts the JTCR telephone, said we got a call from the Jacksonville Suns. They noted that we have had “baseball socials” in past years and they hope we might consider doing that again in 2014.
COMMITTEE REPORTS:
Gate River Run (3/15/14) – Race Director Doug Alred said the “real” launch date for the race is approaching quickly. He met with SMG about the finish line as construction of the new scoreboards at EverBank Field will affect where we finish the GRR. He will know more about the construction plans in early January. Race preparations are going well. It looks like this will be a good sponsor year for us.
TenBroeck Cup Team Competition – Director Richard Fannin is in charge of the team competition and the elite runners. He said this will be the 5th year of the team competition. He is in touch with the organized national teams year-round, constantly talking up the GRR and encouraging teams to bring their very best athletes for the competition. Richard will be going to the USATF Annual Meeting in Indianapolis in December (to receive the Allan Steinfeld Award) and while he is there he plans to “work” the national-class athletes to bring them to our race. In a related way, when the elites are here every year, many of them volunteer with Richard to make a field trip to the Sanctuary on 8th Street to run with the kids in that neighborhood. Richard said there is a woman there who makes a video of the whole thing. JTCR hopes to be a bigger part of this aspect in the 2014 race.
Guana Back To Nature Trail Runs – (Sunday, 12/1/13) – Bob Fernee said that the races went well, even though our “last place” woman didn’t get her medal. Stuart Toomey timed the races electronically. The post-race party at The Reef was excellent. He can’t wait for next year.
The Last Gasp – (Sat, 12/21/13) – Bob Fernee reported that everything is looking good for our end-of-the-year cross-country race. We talked about how we think that online entry is needed for this race.
The John TenBroeck Memorial Winter Beach Run – (Sat, 1/18/14) – Race Director Doug Alred said that the race is pretty much set. Talk it up. Volunteers needed.
RACE COMMITTEE and TRACK MEET COMMITTEE – no report.
JTC Running RACE TEAM – Our team members have been invited to join one of our two teams for the Wolfson Children’s Challenge.
CLASSES & CLINICS – our Gate River Run Training Classes, headed by John Metzgar as the coach, will begin the first week of January.
COMMUNITY & PUBLIC RELATIONS – Director Larry Sassa is thinking of ways to communicate with our internal members while simultaneously getting the word out to the external community about our club and the benefits we offer. He thinks we need to set up a “tent schedule” well in advance.
FINANCE – Committee Chair Bonnie Brooks called a meeting for next Monday, December 9th, at Mediterrania to work out next year’s budget.
MEMBERSHIP – Director Nicole Andress reported that current “household” membership is 725.
MERCHANDISE – Outgoing director Carol Fitzsimmons said that she still needs to report an inventory of the shirts on hand from last year. She also said she will continue to help on this committee even though she is leaving the board for this term.
NEWSLETTER – Bob Fernee said that the last newsletter of the year is at the vendor who puts the addresses on. They should be in the members’ hands soon. The deadline for the first 2014 edition is January 10th.
SOCIAL MEDIA – Stan Lambert does a JTCR post every day.
SOCIAL & BANQUET – The next event will be the Holiday Social in San Marco at 1st Place Sports on December 7th. Promotion of this event is highly desired.
VISION & PLANNING – Doug Alred said that there are no updates.
NEXT MEETING – The next board meeting will be Wednesday, January 8th at 6:30 in the Mediterrania Restaurant.
The December meeting was adjourned at 7:53 pm.
